Job Description : OBJECTIVE
The General Office Administrative Assistant will help support several departments at our General Office located in Plano, TX, with the main focus on supporting our Fleet and Marketing Departments while providing essential administrative support to the General Office. The ideal candidate will, under limited supervision, handle all aspects of the Fleet Program, Marketing Web Store, customer onboarding and provide administrative support.
ESSENTIAL DUTIES AND RESPONSIBILITIES: The following are the essential duties and responsibilities of the Job. Other duties, responsibilities, or tasks may be assigned as required by management.
· Manage and maintain the WEX fuel account for the entire company. Code, approve and submit all fleet related invoices for timely payment while creating and maintaining all fleet unit files. Create Bill of Sale and 130-U forms as needed upon the sale of vehicles, sign/send titles and handle all sale paperwork. Log driver safety events in Data Warehouse and order, ship and maintain all fleet training materials and booklets. Work with the insurance company on NM insurance requirements for new units and handle all incoming mail for the Fleet Department. Allocate large monthly bills in Excel and submit monthly Journal Vouchers to Finance Department. Assist in preparation of presentations and work on special projects as time allows. Manage the Marketing Web Store by processing all uniform, business cards, promo items, signage and gift card orders. Work directly with the vendor and location associates as needed to address shortages, backorders and discontinued items and pull and ship all promo and on-hand stock items as ordered. Review, code, approve and submit all invoices related to the Web Store for timely payment. Handle all aspects of customer onboarding as instructed by Marketing. Provide support as-needed for the coordination and organization of company meetings and events. Provide executive support to all members of the Senior Leadership on an as-needed basis and provide support, as directed, to other departments.
Attend and participate in all Company sponsored training programs as required. Comply with all Company policies and procedures. Perform any other duties, tasks or assignments as required.
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Education and/or Experience High school diploma or GED; at least two years of college preferred. Proven administrative experience to a wide range of departments. At least 3 years of previous experience in a similar role.
Excellent time management skills and ability to multi-task and prioritize work. Expert knowledge with Microsoft Office (PowerPoint, Word, Excel, Outlook, etc.).
Qualifications
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, customers, and other employees of the organization.
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
Ability to operate computer equipment and applicable programs is required.
