Job Title: Administrative Assistant
Division/Department: Operations
Job Overview:
The Administrative Assistant is responsible for supporting general operations of the department. They provide all necessary administrative support to the department – maintaining documentation and communications pertaining to the department, gathering necessary data/ reports and coordinate with different departments to fulfill assigned tasks.
Essential Responsibilities:
Updating managers schedule and calendar
Provide general administrative support to the department
Maintain all documentation/communications for the department
Maintain and update employee report charts
Communicate with respective vendors
Documenting all proposals, plans, PO’s, and invoices in an organized file
Prepare reports/summaries/charts from raw data, maintain logs and supplies
Maintain project management files within the business unit and requests from Senior Leadership
Additional Responsibilities:
As assigned by the manager.
Specific Knowledge, Skills and Abilities:
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
Excellent written and verbal communication skills
Proven ability to handle confidential information with discretion, be adaptable to various competing demands in a high paced environment
Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point)
Preferred Education, Experience and Licenses:
Experience in an administrative role strongly preferred
Physical Environment/Occupational Risks
Warehouse and office environment
