Here’s how an Executive Assistant for our US Head Office office contributes to our team:
Responsibilities
Develops and maintains well-organized filing system that permits easy reference and rapid retrieval of information.
Promptly receives and screens incoming telephone calls to the district executives, takes messages as appropriate.
Elicits necessary information to allow timely and accurate responses and responds when appropriate.
Greets all visitors, answers questions, and directs to meeting rooms, or connects them with staff members.
Creates and maintains templates for forms, letters, tracking spreadsheets, etc.
Organizes meetings and/or special events, including, negotiating, arranging for catering, locations, and distribution of information.
Prepares executives for meetings and provides them with the necessary documents and supporting information.
Manages email and calendars on behalf of others.
Coordinates and prioritizes district executives calendar meetings and travel schedule.
Arranges travel, hotel, and car reservations and prepares itinerary.
Able to mentor and coach other, more junior, support staff.
Orders office supplies for district or assigned area as required.
Acts as an extension of the executive(s) and portrays an appropriate attitude and demeanor.
Demonstrates ability to work autonomously with confidence.
Works effectively without constant and direct supervision or guidance.
Demonstrates knowledge of internal policies, processes, procedures, and practices.
Ensures departmental compliance with timelines, reporting, etc.
Willing and able to work in and adapt to change.
Knowledgeable in department/project specific software.
Provides accurate Word, Excel, and PowerPoint support by creating and/or editing a variety of documents.
Develops and maintains strong, customer-focused relationships with key stakeholders and decision makers.
Values, models, and coaches the solution provider and profitability culture.
Other duties as required
Qualifications
High school diploma or Associates degree or certificate in office administration program considered an asset.
6 years of progressive experience as an administrative assistant, including a minimum of 3 years’ experience supporting senior-level managers and/or district executives.
Excellent verbal and written communication skills; able to communicate to an executive audience with superior professionalism.
General construction knowledge is considered an asset.
Understands terminology and processes when drafting correspondence.
Professional and service-oriented approach internally and externally.
Self-management skills to plan, organize, and prioritize and delegate tasks with conflicting deadlines in a fast-paced environment.
Ability to act with discretion when handling confidential and privileged information.
Ability to effectively handle difficult calls and situations.
Ability to remain calm under pressure.
Ability to anticipate and adapt to various work styles.
Ability to manage email and calendars of others.
Ability to establish and maintain effective relationships with key stakeholders and decision makers.
Superior skills in editing, creating and proofreading documents.
Advanced skills (i.e. formulas, macros, mail merge, animation, invitations) in
Microsoft Office Suite (Word, PowerPoint, OneNote, and Outlook) including the ability to create, edit, and format documents/presentations.
The salary range for this position is between $55,200 and $72,900 per annum, based on experience and qualifications.
