ABOUT THE JOB
Wilson Daniels is seeking an Executive Assistant to provide direct confidential administrative support to the President as well as the leadership team in the NY Office. The ideal candidate will have exceptional administrative skills, a positive and tactful demeanor, professional presence, excellent communication skills, the ability to operate independently, and juggle multiple critical requests. This is an ideal opportunity for someone who has the ability to complete complex tasks and projects quickly with little to no guidance, react with the appropriate urgency to situations that require quick turnaround and take effective action without having to know the total picture.
THE DAY-TO DAY
Management of complex calendars and scheduling
Prepare correspondences, communications, presentations, and other documents
Coordinate domestic and international travel, hotel accommodations, meeting schedules and all travel details
Track and help drive completion of key deliverables and follow-up on outstanding items
Organize, execute, and assist with meeting agendas and presentation decks
Screening and prioritizing communications, both external and internal
Accurately complete expense reports and reimbursements
Provide administrative support: office supply orders, catering requests, conference room management and other vendor requests as needed
Execute confidential assignments that are sensitive in nature
Assist with reporting needs across the company
Assist with overflow, special ad-hoc projects, and day-to-day tasks on an as-needed basis
May perform additional duties as assigned
AM I THE RIGHT FIT?
Bachelor’s degree or and equivalent combination of education and experience
At least 5+ years of previous experience as an Executive Assistant supporting senior executives
Must be proficient in all Microsoft Office programs
Must be able to meet deadlines
Must be able to maintain confidentiality and discretion of sensitive information
Must be flexible and adapts to changes in the work environment, to manage competing demands and handle frequent change, delays or unexpected events
Strong attention to detail and accuracy required.
DESIRED QUALIFICATIONS:
Strong writing and analytical skills.
Ability to communicate clearly and persuasively.
Ability to identify and troubleshoot problems.
Ability to multitask to prioritize conflicting needs and follow-through on projects.
