Be Curious, Not Judgmental.The Executive Assistant will perform a variety of administrative and executive tasks for a dynamic market research firm.Responsibilities include managing both personal and business calendars and supporting the CEO in time management and prioritization. This individual will also actively manage and review extensive email accounts, using discernment and good judgement to separate and highlight legitimate business opportunities for escalation to the CEO. To be successful in this role, you should be well-organized, have great time management skills, and be able to be self-directed and be able to sometimes work with limited guidance.Zebra Strategies offers a comprehensive benefits package with eligibility for medical coverage and paid holidays upon date of hire. A more detailed description of employee benefits will be available during the interview process.Essential Job FunctionsAct as the CEO’s “Right Hand”, surrogate and representativeAct as the point of contact among remote staff and consultants and other external partnersEffectively navigate and manage company infrastructure, including: subscriptions, trademarks, proprietary data, required annual training for staff including privacy and data integrityManage information flow in a timely and accurate mannerManage CEO’s calendar and set up meetingsFormat information for internal and external communication – memos, emails, presentations, reportsTake minutes during external and client meetingsScreen and direct phone callsPerform other duties as assignedQualificationsStrong relationship management skills as there is a high volume of interactions with internal and external contacts at every levelMinimum 5 years of work experience as an Executive Assistant, Personal Assistant or similar role to a senior executiveHigh computer literacy and program savvy with excellent MS Office knowledge, G-Suite for business including Excel and PowerPointDependable remote computer equipment and internet service skills for frequent on-camera, meetings including: Google Meet, Microsoft Teams, Blue Jeans, Zoom, etc.Previous use of program management software is helpful. Knowledge of Asana is a plus.Outstanding organizational and time management skillsAttention to detailAbility to be agile and adapt to changing prioritiesAbility to have accurate answers or get them quicklyExcellent creative problem-solving skillsStrong customer and client services skills and follow-upAbility to take initiative on the CEO’s behalfActive listening skills and ability to be a fast-learnerAbility to “triage” what needs immediate attention and what does notExcellent verbal and written communications skillsDiscretion and confidentialityBA degree preferredGeneral knowledge of qualitative marketing is a plus* Must submit cover letter with resume for consideration* Physical Demands of the JobThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
