The Executive Assistant to the CEO is a fundamental role to the organization, providing an exceptional level of support to the CEO. This role requires a high level of attention and focus – constantly ensuring that the needs and requirements of the CEO are pre-empted, and effectively managed at all times. Exceptional relationship skills and being highly organized are a must. You will always be thinking one step ahead, be a strong communicator and a master influencer
The ideal candidates must be willing to report on-site to our New Brunswick office (3 business days) and Newark office (2 business days) between Monday through Friday.
Responsibilities
Complete a broad variety of administrative tasks that facilitate the President and CEO’s ability to effectively lead the organization, including: assisting with special projects; designing and producing documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense reports.
Provide calendar management for executive. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
Act as a liaison and provide support to the Board of Directors. Arrange and handle all logistics for Board meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes on behalf of Board Secretary. Adhere to compliance with applicable rules and regulations set in bylaws regarding Board matters.
Answers phone calls in a polite and professional manner.
Welcome visitors and kindly directs them to the appropriate meeting location.
Communicates directly and on behalf of the President and CEO with Board members, investors, staff, and others.
Qualifications
Bachelor’s degree is a must.
Solid 10 years of experience supporting C-level Executives.
Proficient with Microsoft Office Suite.
Excellent communications skills both written and verbal; fluent in Spanish is a plus.
Ability to prioritize and meet deadlines.
Extremely organized and detail-oriented.
Must be willing to report on-site to our New Brunswick office (3 business days) and Newark office (2 business days) between Monday through Friday.

Work Schedule
Business hours typically run between 8:30 am – 5:00 pm, Monday through Friday. Some days may require working longer to meet important deadlines.
Compensation & Benefits
We offer a competitive nonprofit annual salary up to $75K based on experience and skills, as well as a generous benefits package, including health, dental, disability and life insurance after 30 days of service; 401(k) retirement plan after a year of service; flexible spending accounts, including medical, dependent care, and transportation; and 25 paid leave days, including sick and personal days plus 13 paid holidays.
