Hard work, and being unintimidated by the task at hand, are the keys to our success. We are in need of an office manager to join our team, who has excellent organization skills, a personable and friendly disposition and an understanding of the intangible things it takes to make a small business work. The ideal candidate would have unquestionable work ethic and integrity, as well as having a natural ability to see what needs to be done and do it. They will be prompt and have excellent time management skills. It is imperative to have an office manager that is willing to provide strong and reliable support directly to the company/s owner/s and company operations. Along with this, maintaining open and honest communication with their fellow staff is very important. Efforts like these will allow us to achieve organizational efficiency, increase sales, and continue to provide a pleasant work environment that is oriented towards the team of these companies.Preferred Qualifications· 2+ years of successful construction office management· 3+ years of experience in accounting/bookkeeping with an understanding of GAAP· Proficient in Quickbooks· Proficient in Microsoft Office and Excel with an aptitude to learn new software and systemsPossess excellent written and verbal communication skills. Including the use of proper grammar and spelling in written communicationsPresent a professional, approachable and friendly attitude with all staff members, clients and visitorsDisplay a willingness and readiness to learnMust have a current driver’s license and a clean driving recordBe willing to perform any onsite labor if neededAble and willing to lift up to 35lbsSkills Needed to be Successful at this Position· Self-motivated to learn and improve the work environment· Be able to communicate and function effectively in pressure situations· Ability to input and process data accurately and efficiently with an attention to detail· Strong time-management and people skills,· Ability to be flexible, and multitask daily· Ability to organize, prioritize and complete tasks with minimal supervision.· Ability to coordinate simultaneous tasks, follow-up on multiple details in an environment with frequent interruptions· Approach work with a team mentality· Ability to problem-solve through situations; and be understanding of when to ask for assistanceDaily and Monthly Responsibilities· Reconcile accounts in Quickbooks· Pay bills on time· Check mail· Answer phones· Maintain office efficiency by maintaining appearance of common areas, organizing procedures, handling correspondence, managing filing systems, and overseeing supplies and equipment· Oversee the day-to-day activities of the office as the main point of contact in the reception area, keeping management informed of performance with routine and requested reporting· Provide direct administrative supports as needed, including scheduling appointments, meetings, and events, booking travel, mailing and shipping packages, and updating contact database and employee list· Oversee and maintain office equipment for uninterrupted function, identify and fulfill office supply needs, maintain and manage vendors, and coordinate food delivery as needed· Manage all aspects of the office’s space/infrastructure planning (moves, adds, and changes to workstations) and provide answers, resources, and solutions as requested· Help with building submittals for government construction projects· Book customers in our lodging facilities· Invoice customers in the construction businesses and lodging business· Build and maintain websitesObjectives of this Role· General administration work for 3 separate businesses.· Maintain the books for 3 separate businesses· Payroll for the businesses weekly. Including certified payroll· Manage the everyday workings of the lodging business.· Seek out and secure new customers for our lodging business· Oversee the guest experience and ensure a personal, friendly experience for anyone coming into our establishment.· Coordinate internal and external resources, and cultivate relationships with vendors· Oversee office interactions, responding to requests and questions· Be more than you think you can be, do more than you think you can do, and do more than is asked of you. If our organization was larger, we would hire 3 people to fill this position. No one in our organization has the luxury of wearing only one “hat”.
