Job Description
Position Title: HR Assistant (Part Time)
Reports to: HR team
Key Relationships: Mainly our People Team and all other departments as required
Purpose: We are looking for a part time HR Assistant who will support our People team and oversee all things related to the hybrid work model that we have in place across all our international offices. For this role particularly, you will be in charge of the region you are hired at. Consider this an upgraded version of your conventional Facility Manager role. And the best part is we would only require you to come in twice a week (Mondays & Thursdays) for approximately 4 hours total per week.
What you will do:
Culture & Comfort
Ensuring that our on-site and remote employees in the region are productive and comfortable.
Ensuring that the company’s culture and values are upheld when employees are not in the office
Making sure the office is physically appealing, organized and comfortable for employees
Making suggestions to leadership about the office layout and furniture
Recommending changes to working policies based on observations made while managing the office environment
Operational Excellence
Coordinating internally to ensure the smooth operation of a hybrid workforce.
Providing support and assistance to employees (including those working remotely)
Coordinating with other departments to make sure all aspects of the office (including virtual offices) are running smoothly
Other general admin tasks include receiving, sorting, and distributing mail.
Informing management of any important correspondence related to the company.
HR Events: Assist in organising the HR events, ordering food and booking entertainment
Management of Inventory, Laptop & other equipment
Ensuring that all office equipment is working properly and that supplies and local inventory list are always stocked and up to date
Informing our HR Administrators if new equipment (Laptops, Screen, Mouse) needs to be replaced or bought.
For Broken equipment: Assess the problem with the employee > Check how old the equipment is > Send it in for repair – if covered by insurance >Recycle the equipment (if without insurance and high costs for repair).
Updating our assets list when a laptop is assigned to the new joiners, and when an employee leaves the company.
Formatting the laptop after an employee leaves the company.
Onboarding & Offboarding
Ensure in advance that we have a spare working laptop to give to the new joiner.
Welcome new hires: Organise the new hire desk with a welcome kit, welcome note and laptop ready to be used > Greet new hires at the reception > Spend 30 minutes offering coffee, introducing the team members, and familiarising them with the office etiquettes.
Assist with the HR Onboarding: If autonomous – onboard the new hires
Assist on first log-in on Gmail, Slack, Confluence, Xero & 1password.
Snacks: Assist in ordering and regulating the snacks
What you will bring:
0-2 years of HR experience. Fresh grads/ part time students are welcome!
