Position : NAC Onboarding and Human Resources Specialist

Job Description : POSITION GOAL
The Onboarding Specialist will help create and deliver a quality onboarding experience for our newly hired and transferred employees. Additionally, this position is responsible for administering our internal company benefit programs and assisting other members of the department with various tasks as needed. This role functions in support of three of our operating companies – Northern Aviation Services, Northern Air Cargo, and Northern Air Maintenance Services.

POSITION RESPONSIBILITIES
Onboarding Responsibilities:
Managing multiple systems and moving parts, including multiple stakeholders, this individual will facilitate and track the progress of all hires and transfers from point of accepted offer through start date. Responsibilities include:
Partnering with hiring managers to ensure they understand the onboarding process and their role in it.
Ensuring candidates receive and return all required new hire paperwork in a timely fashion, including the monitoring of collection of regulatory documents related to the Department of Transportation (DOT) and the Pilot Records Improvement Act (PRIA) requirements.
Reviewing all pre-employment tests and checks, including Covid requirements, to ensure they meet Company standards.
Conducting E-Verify with I-9 documentation, ensuring accuracy.
Tracking candidates’ progress through the onboarding process.
Processing the hires into the UKG Onboarding module.
Completing the regulated new hire onboarding log.
Ensuring new hires IT equipment needs (both in Anchorage and Seattle) are processed in a timely fashion
Creating and maintaining new hire communications, including forms and reference guides.
Planning, facilitating, and helping to constantly improve New Hire Orientation.
Supporting the Recruiting Manager with miscellaneous tasks and assisting with front-end recruiting activities.
Assisting with the badging process as needed.
General Employee Services Responsibilities:
Assisting with COVID tracking and contact tracing.
Assisting our Drug & Alcohol Designated Employer Representative (DER) with the preparation of drug and alcohol packets.
Administering internal company benefits such as interline travel, charitable contributions, tuition assistance, fitness reimbursement, bus passes, etc.
Processing unemployment and employment verification requests.
Distributing compliance materials throughout company buildings on and off airport property.
Assisting employees with routine questions such as how to find information in HRIS self-service portal.
Answering phones and directing callers to the appropriate department employee.
Administration and maintenance of employee personnel files.
Assisting Department in identifying efficiencies and finding ways to leverage technology to improve processes.
Assisting with special projects as needed.
Other duties as assigned.
QUALIFICATION REQUIREMENTS

Experience working in a fast-paced environment and ability to multitask.
At least 18-months clerical experience performing duties of similar scope and complexity. Prefer human resources experience or related education.
Proficient in MS Office suite.
Advanced computer literacy in the areas of typing speed and accuracy; navigating between multiple systems and screens.
Able to manage tasks in a remote work environment using tools such as Microsoft Teams, phone, e-mail, etc.
Excellent customer service skills and ability to communicate effectively with internal and external stakeholders.
High level of organizational skills and demonstrated track record of attention to detail and working well under pressure.
Highly adaptable, comfortable with ambiguity and able to effectively cope with change.
Ability to handle sensitive information and maintain confidentiality.
Must be able to pass pre-employment drug screening, background check and security threat assessment.
Valid driver’s license and good driving record.
