Job Description : Office Coordinator
The Business Office Manager will facilitate the cash and pharmacy copay needs of the business’s clients and the needs of daily business operations. The principal functions of the position identified shall not be considered as a complete description of all the work requirements and expectations that may be inherent in the position. Salary: $55,000 per year
Schedule: Monday-Friday 9am-5pm
EDUCATION AND EXPERIENCE:
H.S. Diploma or equivalent, higher education preferred.
Minimum one (1) year work experience in in administrative office setting in a like role.
Experience working in an inpatient behavioral health setting preferred.
Experience with QuickBooks required
Experience with Microsoft Office required
LICENSURE/CERTIFICATION:
CPR and Standard First Aid certification preferred
KNOWLEDGE AND TRAINING REQUIRED AT TIME OF HIRE:
Customer and Personal Service;
Core Responsibilities:
To maintain the weekly/daily cash needs of the clients through credit card runs or cash distribution.
To approve or deny client pharmacy requests
Maintain daily Excel sheets for both client cash and pharmacy copays
Work closely with Clinicians, Program Director, Executive Director and Medical Dept. in resolving client cash issues
Facilitate weekly phone calls to client families for client cash funds
Facilitate daily phone calls to client families for the collection of pharmacy copay deposits
Maintain business office petty cash and client cash banks
Weekly reconciliation of petty cash accounts
Receive vendor invoices, retrieve approval signatures, and upload invoices to Corporate A/P Processor
Facilitate purchases for office and residence with Manager approval
All other tasks assigned by Regional Accounting Manager
Maintain everyday office duties – including but not limited to – filing, scanning, faxing, making phone calls, and mail handling
Ensure a safe and clean reception area by complying with procedures, rules and regulations
Have clear communication with supervisors and co-workers
Other duties as assigned by supervisor and/or other management
Performance Objectives
Ensure a high level of accuracy with cash handling
Communicate all department needs to supervisor
Attend all meetings and trainings as scheduled
Provide professional customer service to clients, vendors and staff
Always maintain appropriate professional boundaries and ethical behavior with clients, families and other professionals
