Position Description
The Operations Specialist is responsible for ensuring the accuracy in the delivery of all programming through the execution, of schedules, facility and team assignments, and interdepartmental communication of all required requests, updates, and follow-ups. Your daily input to the operational flow of the Retreat ensures al team members have the information required to deliver the Sensei Experience. The Operations Specialist uses problem solving approach, preempts issues, raises concerns to management all in order to ensure a smooth operation while attaining brand standards.
This position will coordinate and integrate with the Experience Specialist on day-to-day operations.
Responsibilities
Monitors accuracy of facility and team assignments as per Book4Time schedules.
Audit spa and wellness bookings to ensure accuracy.
Manage intradepartmental communication to inform, update and follow-up on guest information and programming requests.
Communicates with appropriate departments maintenance, food and beverage or housekeeping needs.
Monitors communication channels to ensure correct tasks are assigned and executed.
Improves workflows and processes to achieve operational efficiency.
Proficient on the Sensei Way and Retreats Programming and Weekly Activities Calendar
Knowledgeable about staff schedule and practitioner’s proficiencies in different modalities.
Oversees laundry operations.
Oversees retreat assistant and ensures all programming areas are stock, sanitized, and ready for sessions.
Coordinates daily with Experience Specialist and Pre-Arrival team.
Track Daily Guest Movement.
Completes Experience Specialist functions as required.
Requirements
Bachelor’s Degree or higher in Hospitality, Event Planning, Operations with an interest in health and wellness or comparable experience preferred.
Incredibly organized
Preferably has experience working with Book4Time or booking systems.
Experience in computer, reservations and itinerary systems.
Preferred experience working in the medical and/or wellness industry at a front desk or control desk, reservations, call center or hotel concierge
Friendly demeanor, great smile, energetic, calm, and empathetic
Able to make sound decisions when in a stressful situation
Organized and able to prioritize
Must be able to operate equipment, including: an iPad, computer, hand radio, and be able to text message.
Ability to climb stairs, bend, stretch, reach above shoulders, kneel, twist, and grip items.
Responsible to set up equipment and clean equipment and the Salon
Must be able to bend, stretch, sit, stand, and walk for extended periods of time, at least 5,000 steps a shift, up and down hill and stairs.
Ability to push and pull equipment.
Ability to lift and carry 30 pounds.
Full drivers license and clean record.
Performs additional related duties as requested by a manager at any time
Must be able flexible hours and work weekends, and holidays.
Relocation to the island of Lana’i, HI
Candidates must have valid work authorization for the U.S.
