Job Description : Focus Medical Communications is currently seeking an experienced Meeting Planner to join our team in Parsippany, NJ.Who we are: Since 2004, Focus Medical Communications has served as a boutique healthcare communications company. We represent leading non-profit foundations and clients specializing in Chronic Liver Disease, Gastrointestinal Health, and Rheumatology. Focus delivers unparalleled excellence in managing a wide array of projects and programming for each of these clients. Projects include but are not limited to Pharmaceutical meeting series, National & Regional Conferences, Symposia, Online Education, and Journal Publications.About the role: We are looking for a self-motivated individual who strives to succeed in a team-oriented environment. The ideal candidate needs to work effectively with minimal supervision, paying close attention to detail. This person will report to our Program Directors and be responsible for projects from inception to conclusion, adhering to timelines and budgets, and developing ideas and strategies to drive program recruitment. Individuals must be local and be able to report to our office in Parsippany, New Jersey. Willingness to travel domestically is required.What you’ll do: Serve as the company’s point of contact on assigned projectsRepresent the company and client in project meetingsEstablish project objectives, policies, and procedures based on the needs and specifications of the clientEstablish and maintain liaisons as required with staff and vendors to facilitate project activitiesRespond to inquiries from clients, staff, and vendors about the status of the projectMonitor activities of project personnel to ensure completion on schedule and within budgetTrack and reconcile program expenses against assigned budgets using QuickBooksReview status reports prepared by project personnel and modify schedules and/or plans as requiredManage program logistics, including venue sourcing and contracting, faculty travel arrangements, audiovisual needs, event recruitment and registration, exhibitor management, enduring/online education, and program-related website updatesManage the consistent delivery and execution of projects based on agreed-upon timelines and expectations of qualityDeliver reports and coordinate information flow from the client through the organization and back to the clientComplete all other duties as related to assigned projects & perform other tasks as directedOur ideal candidate: Bachelor’s degreeSuccessful background in pharmaceutical project management and/or meeting planning preferred (up to 3 years), but newly graduated job seekers are encouraged to applyFamiliarity with the budgeting process (creation, tracking, adherence, reporting)Ability to anticipate project needs and meet deadlinesMust be available for occasional overnight & weekend travel (in & out of state)Strong written and verbal communication skillsEffectively communicate and interact with all structural levels of organizations, including clients, vendors, and internal stakeholders.Time management skills to prioritize and meet deadlinesHighly organized with outstanding attention to detailIndividual who is creative and offers new ideasAbility to work independently and as a member of a teamThrives in a fast-paced environmentComplete multiple tasks and manage a high volume of competing priorities across projectsProficiency in Microsoft applicationsWhat we offer: Starting at $45,000 (depending on experience)Company-sponsored health plan through AETNAHealth Savings AccountVision PlanDental PlanLife Insurance401K Plan Retirement Savings Plan through VoyaBonus-eligible, based on top individual performance and company resultsComp time offered for overnight travel on weekendsSigning bonus as a percentage of starting salary.
