Position : Production Office Assistant
Job Description : The Event and Production Services Unit is looking for an energetic, dedicated and experienced Production Office Assistant to join our team. The unit is principally responsible for facilitating Event and Production for the Speaker’s Office and Council Members for the City of New York.KEY RESPONSIBILITIES:Producing daily activity logs, incorporating the status of all current and upcoming projects (across both graphics and events), necessary follow up, questions, communication needs, upcoming meetings, etc.Managing scheduling and calendar.Assigning, monitoring, and tracking designer workloads, with guidance of director.Monitoring project statuses internally by regularly checking in with designers and externally by following up with Member offices for edits, updates and sign off.Producing monthly, bi-annual, and annual activity reports incorporating all projects completed within the unit.Reviewing all emails and/or activity reports from the period; pulling all projects and project drafts into the report and tabulating quantities of various types of projects.Ensuring all folders are up-to-date to include all unit lead events and related paperwork such as invitations, programs, run of show, staff rosters, proclamation text, guest lists, etc.Maintaining weekly reporting on all activities and other administrative tasks, as necessary.QUALIFICATIONS:Must have excellent organizational skills and capable of interacting with a broad range of individuals.Ability to create and maintain personal organization/tracking tools as needed.Strong time management skills and balancing of numerous projects at a time with care and attention to detail. Ability to work well on tight deadlines.Proficiency in Microsoft Office suite – specifically Word and Excel.Excellent communication and interpersonal skills.Team player with a willingness to share responsibilities with others.Self-starter with a demonstrated track record of showing initiative to move projects forward.Bachelor’s Degree is preferred.Minimum of two years of experience with events or related work required.Knowledge of New York City and its communities is helpful.Due to the nature of this position, individuals will occasionally be required to work various shifts such as weekends and/or evening shifts.ADDITIONAL INFORMATION:New York City residency is required within 90 days of appointment.As of November 15, 2021, all new hires must be vaccinated against the COVID-19 virus to work at City Hall and/or 250 Broadway offices, or at any Council Member district office, unless they have been granted a reasonable accommodation for religion or disability.
