Job Description : A full-service design firm for the luxury market is looking for an immediate hire to fill an open receptionist/office assistant role. This role requires an experienced, organized, friendly and expert multi-tasker to greet clients, answer phones, order supplies, accept deliveries, coordinate meetings and team member travel, manage conference rooms and calendars, as well as assist other front office roles in daily tasks (invoicing, filing, event planning).This candidate will also act as an executive assistant to the President, managing his calendar, travel, events, etc. Other miscellaneous tasks: maintains breakroom, conference rooms, and common areas, receive and distribute mail, coordinate staff meetings, and lunch & learns, and offer assistance to other team members when needed.Role Requirements:High School Diploma – Bachelor’s preferred2-5 years of similar work experience – past customer service experience a plusProficiency in Outlook, Word, Excel and PowerPoint. Experience in scheduling virtual meetings utilizing zoom and Microsoft TeamsTech efficiency requiredFriendly demeanor and can-do attitudeReside in the Scottsdale/Phoenix metropolitan areaReceptionist Responsibilities:Order supplies as needed, at appropriate quantities. Maintain office supplies inventory documentSet up/schedule GoTo meetings for staffSchedule staff meetings, order food, coordinate the agenda with staffKeep company calendar up to dateAccept and mail packagesReceive/open all mail, sort and deliverHelp with the planning/organization of holiday parties and other staff appreciation days (ex: massages, team-building, etc.)Stay within spending budgets when givenOpen/close office every dayKeep conference rooms, kitchen and restrooms stocked and tidyClean up timely after client meetings, if neededAssist Accounting department as neededSchedule and manage Lunch & Learns and Meet n’ Greets with vendorsOffice Assistant Responsibilities:Manage and know Senior Leadership’s calendars/travel plans/meeting scheduleSchedule meetings, make reservations, book travel (airline, cars, hotels), etc.Take adequate phone messages and get them to appropriate team member promptlyBook daily time for leadership team in timesheet management softwareSchedule:This position will be 8am – 5pm, Monday through Friday, with exceptions due to early/late client meetings in officeCompensation:This position will be paid hourly.
