Position : Recording Clerk

Job Description : Description
Performs the most complex Recording and customer services work within the Clerk and Recorder’s Office. Provides training on occasional basis. Work involves recording various documents accurately; providing customer assistance regarding documentation requirements and recorded documentation and maintains permanent records.
Examples of Duties
Essential Job Functions
Performs a full range of complex document recording duties including signing documents and entering recording fee amounts, inputting dollar amounts into register; entering data into computer, checking information provided on documents, making copies, scanning documents as required and filing documentation.
Handles recording issues and transactions including, image exports to the network, quality control of images, the recording process inclusive of full service, index and verify and electronic recording.
Resolves issues involving customers, financial institutions and title companies regarding regulations relating to recordation of documents.
Indexes all recordings by grantor/grantee.
Inputs appropriate corrections to document indexing records as directed.
Maintains computer applications and files.
Provides direct support services to the public as an information source on recording policies and procedures.
Assists customers with physical search.
Interprets statutory requests for record processing.
Completes written correspondence to customers explaining fees, reason for rejection, policies and procedures as directed by the Recording Supervisor.
Under the direction of supervisor and legal counsel, pull and return documents unsuitable for recording.
Performs special studies and projects as assigned and required.
Serves as a backup for other related positions as needed.
Assists with accountability for other employees within the work unit which includes scheduling, assigning and reviewing work and instructing/training in work methods.
Assists in the planning and coordination of flow of work in the Recording Department.
Provides training on an occasional basis to technicians; work directly with staff; respond to questions as new and unusual situations arise.
Financial responsibility for cash handling and bookkeeping and accounting.
Performs other duties as appropriate or necessary for performance of the job.
General Requirements
Fills in for other staff as necessary and/or required.
Attends meetings, classes and trainings as required or requested by supervisor.
Encouraged to recommend changes to improve procedures that would result in efficiencies, cost savings and safety.
Communicates actively, clearly and regularly with supervisor and co-workers on all work-related topics.
Understands, observes and complies with all Governmental, Pueblo County and Departmental policies, procedures and protocols when performing job duties.
Possesses excellent oral and written skills to communicate effectively.
Establishes and maintains effective working relationships with Pueblo County employees from same or different departments/offices, entities and customers.
Typical Qualifications
Knowledge, Skills and Abilities
Full Proficiency:
Knowledge of recording applications required to record a document. Technical terms pertinent to the recording of legal documents.
Knowledge of procedures to operate microfiche and microfilm readers.
Skilled in organization, procedures and operating details of the department.
Modern office practices and procedures.
Knowledge of fundamental principles of, cashiering, record keeping and compiling and maintaining a variety of computer records and files.
Skilled in training methods and techniques.
Ability to use available references and research materials.
Provides professional customer service to clients and public.
Performs duties independently without close supervision.
Expert Proficiency:
Knowledge of routine software and business applications including, but not limited to, word processing and spreadsheets.
Perform mathematical computations and effectively operate a ten-key calculator.
Ability to operate computers and computer software programs such as Word and Excel.
Performs typing functions within required words per minute.
Operates and maintains a computerized database system.

Education:
High School Diploma or GED equivalency and successful completion of one year of vocational or technical school required.

Experience:
Minimum of two years of general office clerical experience required.

Special Requirements:
Must successfully pass background check.
