Job Description : Position Status Full Time Classification Title Classified-12 m-Level IV Work Location WRTTC – 1309 Interstate 10 W, Fort Stockton, TX 79735 Job SummaryThe primary purpose of the secretarial position is to assist and support the Director of the Regional Technical Training Center.Required QualificationsHigh School diploma or equivalentClerical experience, including payroll and purchase ordersKnowledge of software programs, including Excel, Word, Word Perfect, PowerPoint, Access, Internet, and E-mailKnowledge of printer troubleshootingProficient in computers and office equipment such as answering phones, fax machine, postage meter, 10-key and copierWork with little or no supervisionLearn quickly and work under slight pressureAbility to process information quickly and perform work accuratelyPreferred QualificationsCollege level certificate or Associate’s degree in computers or related fieldEssential FunctionsAnswer telephone inquiries and filter calls, public contact, filing, copies, faxing, scanning and imaging documentsEnsure that front office phones are manned from 8:00 am-5:00 pm; post-college closing and any other pertinent informationAssist faculty with copies, room requests, or any other special needsAssist Director, or others, in documenting minutes for meetings; provide reminders/prompts regarding follow up activities for staff/facultyMonitor and assign duties to part-time (proctor/clerical) employeesDefine on a daily basis important information and reminders that employees would benefit from and communicate to them via e-mail, phone, etc.; communicate with main campusContact professionals for building and equipment maintenance needs (copiers, postage meter, air conditioning & heating); notify janitorial maintenance personnel of work order requests from employees for service/support as neededIdentify janitorial needs and notify janitors of minor facility maintenance needs; request purchase orders for janitorial suppliesObtain telephone code to allow staff/faculty to make long-distance phone callsOpen and distribute incoming mail and interoffice documents; handle outgoing mailIdentify books used for courses being taught at the WRTTC and contact Texas Book company at MC and/or publishers for instructional materials/supplements that accompany course textbooks as neededWork with Midland to turn-key evaluations each semesterHandle petty cash moniesProvide and process Scholars’ Dollars applications for prospective dual credit CE, general, nursing, and energy technology students; Correspond with SD’s board members and meet bi-annually to determine awards; update MC Scholarship Specialist regarding student awards; Assist with registration and maintain filing system and correspond with students regarding “Thank you” letters for our SD’s donors; assist with SD’s yearly kick-off fundraising for the continued support of Scholars’ Dollars Scholarship Fund; accept donations for deposit and update accounting on all monies receivedProcess open purchase orders for the budget year from approved vendors;Handle all other purchase order requisitions and follow-up on all purchases; obtain invoices for payment and stay in contact with purchasing regarding all receiving reports for paymentsKeep up with all purchases and post on budget spreadsheet to assist WRTTC Director in managing budget funds and maintaining filing records.Assist in coordinating TSI testing; register students and receipt of paymentIdentify faculty and staff who will be participating in graduation ceremonies and order regalia; coordinate with Midland and faculty/staff delivery, pickup, and return of regaliaRecruit potential proctors, assist with hiring requirements, and provide orientation. Maintain weekly work schedule for proctors and supervise all duties and work assignments including proctor coverage for instructors and all required work for instructors as needed.
