Job Description : Job Description: This role is responsible for ensuring all clients are welcomed into our program sites, treated with courtesy and compassion, provided with excellent and professional customer service and are referred timely to their scheduled provider. The support staff also provide administrative support to the program staff by supporting the scheduling of clients, assisting with clerical tasks as needed and generally supporting the smooth operations of the assigned program site.Responsibilities: Opens, and securely closes, all program sites at the beginning and end of each work day.Welcomes and assists all incoming clients and ensures their scheduled provider is notified of their arrival.Collects co-payments, deductibles and co-insurances and posts payments directly to electronic database.Assists program staff with clerical tasks (printing, copying and scanning, etc.) as needed and requested.Assists program directors as needed with reporting requests or other clerical needs.Refers clients to billing staff as needed.Answers telephone calls professionally, manages active switchboard, and refers phone calls to appropriate parties.Completes medical records requests and other documentation requests, as needed.Supports clerical needs (printing, copying, scanning, faxing) as needed.May be called upon to schedule transportation for clients and/or make reminder phone calls for upcoming appointments.Responsible for keeping a clean and professional work environment.May be called upon to provide back up support at other program sites.Other assignments and tasks may be added at the discretion of the Supervisor, Manager or Director.The ideal candidate will be friendly and compassionate with previous and demonstrated experience providing excellent customer service. Previous experience working in an office setting, preferably a nonprofit medical or mental health setting is preferred; prior experience working in a reception or clerical role is necessary.
