Position Overview
The Administrative Assistant & Office Support Coordinator provides administrative and secretarial support for the
Operations Department as well as general office support to all other departments. Duties include essential
coordination of internal & external meetings and conferences, office supply management (maintain inventory
lists, track purchase requests and ordering), coordinating direct mailings, working on special projects; answering
non-routine correspondence; and assembly of highly confidential and sensitive information. The Admin Assistant
will work with a diverse group of important external callers and visitors as well as internal contacts at all levels of
the organization. Independent judgment is required to plan, prioritize, and organize a diversified workload, and
recommend changes in office practices or procedures. This full-time non-exempt position reports to the Vice
President of Operations.
Essential Functions – 90%
Schedule and organize complex activities such as meetings, travel, conferences, and department
activities for all members of the department and other senior leaders
Create and develop visual presentations as directed
Establish, develop, maintain and update a filing system for the Operations Department; retrieve
information from files as needed
Organize and prioritize large volumes of information and calls
Supervise and manage the reception/front desk team
Create a reception/front desk training specific to phone etiquette and other customer service-
oriented tasks
Sort and distribute incoming mail or oversee team that does. Open departmental mail and draft
written responses or replies by phone or e-mail, as necessary. Respond to regularly occurring
requests for information
Answer, follow up, and direct incoming calls; take and forward messages; field/answer routine and
non-routine questions for the organization, offering information about 211 and U.W. programs,
volunteering, and fundraising
Act as a liaison with other departments and outside agencies, including high-level staff such as
Presidents, & vice presidents. Handle confidential and non-routine information and explain policies
when necessary
Work both independently and within a team on special nonrecurring and ongoing projects. Act as
project manager as needed for special projects such as planning and coordinating multiple
presentations, disseminating information, and coordinating direct mailings
Take Board and Committee minutes
Produce expense reports as requested, support department head in other duties as necessary
Maintain front lobby, conference rooms, coffee areas, and vending area; receive and send out mail;
accept deliveries
Welcome and screen staff/visitors/volunteers; coordinate and direct arriving volunteers; create and
distribute staff badges and business cards (as needed)
Board and Committee Packet compiling and assistance
Assist in the coordination of pickup and distribution of donated items/supply drives
Secondary Functions – 10%
Meet, greet, and tour visitors as a part of support-building and donor relations as requested by
supervisor
General clerical duties: letter writing, faxing, copying, message handling, weekly reports, purchase
orders, office inventory, filing, data input and maintenance of marketing materials
Executive Leadership team clerical support as needed
Prep for meetings (on Mondays; creating list of visits/appointments and informational materials for
meetings)
Other duties as assigned
Qualifications
Administrative or office assistance experience
Excellent written communication skills and strong social capacity to work with a variety of people
Knowledge of office management systems & procedures
Excellent time management skills and ability to multi-task and prioritize work
Strong problem-solving skills and attention to detail
Strong computer skills, especially in all Office programs
Capable of working independently and in a team environment
Must have reliable transportation, a valid California driver’s license, proof of minimum required
California vehicle liability insurance and a good driving record
Must be flexible and able to work outside traditional office hours

While performing the duties of this job, the employee will be required to use equipment such as the telephone,
computer, fax machine and copy machine. The employee is also frequently required to use hands to finger,
handle or feel and reach with hands and arms, and to talk and hear. This position requires sitting for extended
periods of time but may require the ability to walk, stand, stoop, squat or drive for various periods of time. Visual
acuity and manual dexterity are required for typing and computer use.
Wage and Benefits
Wage $25.00/hour. Benefits include vision, dental, medical, life, AD&D and long-term disability insurance, paid
holidays, accrued vacation and sick-leave, and optional participation in a 403(b)-retirement plan.
