Job Description : The Menzies Aviation Administrative Assistant is responsible for updating and correcting payroll hours in Kronos for employees on a daily/weekly basis. Other responsibilities include compiling and posting employee payroll data and managing hours clocked, requesting electronic payroll selections to eliminate paper checks, in accordance with corporate policies, and distributing paychecks and correcting pay role errors.Key Responsibilities Keep track of attendance records, monitor lateness/absence/manual miss punches, etcPerform general office duties inclusive of, but not limited to filing, answering telephone(s), mail distribution and composing correspondenceUpdating shifts times/altering expected times prior to shift commencements to reduce missed punches including shift trades/coverageKeep track of attendance records, monitor lateness/absence/manual miss punches, etcEnsuring Exception reports are completed when required and filled out completely including signatures from both the employee and the department managerEnsure weekly OT report is received, completed and signed by managerCoordinate with payroll department for any missing forms (not received or received after payroll has been run)You will need to be able to perform simple mathematical functions such as adding, subtracting, multiplying, and dividing as you will need to determine hourly rate calculationsResponsible for ensuring all US Postal Service paperwork is processed in accordance with all government statutory requirementsInputs inventories, receipts and transfers dailyPerform analysis of (loss/again) in the system dailyResponsible for reconciling daily book inventories by individual supplierValidates monthly closing reports to ensure that monthly summaries add up to daily totalsMaintain all base fueling billing through Accounts PayableOrganize, arrange and enter document data in accordance with established proceduresPerform general office duties inclusive of, but not limited to filing, answering telephone(s), mail distribution and composing correspondenceAny and all other task as requested by department managers and/or the General ManagerQualificationsMust be at least 18 years of agePossess and maintain a valid US driver’s licenseMust pass pre-employment drug screenAbility to proficiently read, write and speak EnglishMust be comfortable lifting 70lbsMust pass FBI background check and obtain US Customs sealMust be available and flexible to work variable shifts including weekends and holidaysPrior Customer Service Experience preferredProficiency with 10key and typing minimum 35 wpmKnowledge, Skills and AbilitiesAbility to learn quicklyAbility to understand and carry out oral and written instructions and request clarification when neededStrong interpersonal skillsAbility to work as part of a teamAbility to build relationshipsJob Type: Full-timePay: From $19.75 per hourExperience:Computer skills: 1 year (Preferred)Microsoft Office: 1 year (Preferred)License/Certification:Driver’s License (Preferred)Work Location: One location
