Job Description : Position Title: Administrative Assistant at Native Farms LLCLocation: 41-732 Kakaina St Waimanalo HI 96795Status: Non-Exempt (hourly)Supervised By: Office Administrator or designated staffPrimary Purpose: The Administrative Assistant will provide clerical support for the day-to-day tasks of the plant nursery team and will assist owners with all administrative tasks while working in a fast-paced environment, independently and as part of a team.Duties and Responsibilities: Provides support to Native Farms employees and ownership.Regularly check work emails and follow through with action items or further communicated as needed.Handle office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.Maintain and facilitate communication between central admin office (Kaka’ako) and onsite Farm staff.Produce pot labels and maintain accurate filing system for labels.Assist purchasing staff with communication with vendors and suppliers.Assist sales staff to coordinate delivery of plants to on island and neighbor island stores, as well as other logistics clerical duties.Run offsite errands as needed.Maintain neat, clean and safe office and employee break areas.All other duties/responsibilities as assigned.Other Essential Functions: · Attend professional development seminars and trainings, as scheduled.· Follow guidelines outlined in company handbook and company procedures and policies that are communicated verbally, via e-mail, bulletin postings, and written memorandums.Working Conditions: Normally indoors under regular office conditions.Work Hours: Normally 35-40 hours per week, Monday- Friday. Part time hours also available.Key Attitudes / Abilities: § Positive Attitude – Despite numerous demands that may be at hand, maintain a positive and solution-oriented attitude.§ Willingness to Assist – Always be willing to assist clients and coworkers to achieve their goals and to support the team, while keeping track of own deadlines.§ Good Attendance – Arrive with enough time to clock-in and be ready to work by the start-time daily (start time to be determined by Owner).§ Flexibility – Be able to flex to the changing needs of company operations.§ Multi-task – Be able to effectively prioritize and manage deadlines for the various tasks assigned to this position, while ultimately meeting all deadlines.§ Organization – Maintain organization in all work areas in order that work, documents, and other communication can be easily followed, especially by others when you are out of office.§ Timely Execution of Tasks – When given a special project to complete (or a regular assumed daily task), be able to systematize processes and allow for timely execution of the task within time constraints.§ Communication – Appropriately and professionally communicate with coworkers and clients (verbally and in writing). Communicate any job concerns to the Owner immediately so solutions can be implemented.§ Excellent Phone Etiquette – Maintain appropriate and professional phone etiquette when conversing with coworkers and clients. Quickly learn phone operations.§ Initiative – Think and operate proactively.
