While we are 100% remote, as travel normalizes in the future there will be group events, including SMG conferences, that will again become part of our normal course of work.At SMG, it is our mission to our employees to bring purpose, clarity and exciting new challenges to your work life.Candidate ProfileReporting to the Senior Director of Events, the Events Operations Specialist works closely with the Senior Content Manager and Media & Events Producer on the organization’s portfolio of live and virtual conferences, webinars, workshops and custom events. This individual will be intimately involved in client management, event operations and program development.The Events Operations Specialist will manage event tools & platforms, collect speaker & sponsor materials, coordinate external meetings & speaker recordings, provide customer service, maintain our speaker database, submit certification materials, and related tasks.This role requires a dynamic problem solver who is tech-savvy, extremely detail-oriented, driven and a master at organization and follow-through. The successful candidate can juggle multiple projects, maintain a cool head under pressure, has a passion for learning new skills, and is an effective and collegial team player.The ideal candidate is highly versed in digital experience excellence, as well as live event delivery.Core Duties and ResponsibilitiesPlatform Management (20%)Maintain registration and event delivery platform – create new events, set up registration pages, manage analytics, serve as knowledge center for platform within SMGUpdate content on event websites; regularly monitor and QA event sitesSet up and manage event tools and apps for high-quality delivery of digital attendee experience, content sessions, gamification, surveys, and related event deliverablesEvent Operations (20%)Drive timelines and effectively execute to internal and external deadlines – manage and utilize project management tools effectivelyMaintain speaker database health – update contact and engagement activities in real time and provide weekly activity reportsServe as primary support representative – set up automated emails, respond to inquiries, and work with internal teams to ensure customers’ needs are addressedSupport media producer with video QA, accessibility and webinar deliveryManage event Slack communities and live day browser and app notificationsAssist in budget management and expense allocation reportingProgram Development (20%)Coordinate speaker content planning calls, and prepare material templates for briefings, agreements and deliverablesFacilitate the collection of speaker materials – regularly communicate upcoming deadlines, technology requirements, calendar holds, etc.Upload speaker materials to the Virtual Event Hub and QA all public-facing contentComplete speaker registrationsSubmit event programs for certification creditsIdentify and coordinate virtual or live experiential opportunities such happy hours, networking, gamification and wellness activitiesHelp grow our database of potential speakers by researching industry events, speaker bureaus and other outreach, including call for speakers campaignsClient Management (40%)Serve as main point of contact for sponsor client deliverablesCoordinate client kickoff callsFacilitate the collection of sponsored materials – regularly communicate upcoming deadlines, technology requirements, calendar holds, etc.Upload sponsor materials to the Virtual Event HubConduct sponsor training sessionsGenerate and distribute sponsor lead reports – manage privacy compliance, data integrity and coordinate with marketing teams to ensure quality data sets and distributionKnowledge, Skills, AbilitiesKeen understanding and ability to implement digital experience excellenceInterest in technology, and how it impacts our personal and professional livesDemonstrated flexibility and ability to prioritize and re-prioritize as conditions change, and deliver on timeStrong interpersonal skills, energy, drive and initiative; results and goal orientedSuperior organizational skills and attention to detailWorks efficiently and accurately in both independent and collaborative team environmentsDemonstrated ability to create and modify procedural documentation, timelines, and program plansConfidence to raise issues and communicate with all levels of staffWillingness to learn and take on more responsibility over timeEducation Requirements and ExperiencesBachelor’s degree required with a focus in Communications, Marketing, Public Relations, Project Management or other related field preferredTwo or more years of demonstrated professional experience, including virtual and live event experience (2+ years; required)Project management experience is preferred (1+ year; preferred)Prior experience interfacing with customers is required (1+ year; required)Computer and Technical SkillsProficiency in the use of Google Docs and Google applications, including Docs, Sheets, Keynote, and Gmail is required (1+ year; preferred)Working knowledge of Marketo, Salesforce, Hubspot marketing cloud or similar marketing automation platform (1+ year; preferred)Experience working with webinar platforms such as GlobalMeet, ON24, Zoom, WebEx, GoToWebinar or similar programs (1+ year; required)Experience working with Swoogo, Swapcard, Hopin, Cvent, Bizzabo or similar event management software (1+ year; required)Experience working with Slack, Pigeonhole, SocialPoint or other digital communications, gamification or experiential tools (1+ year; preferred)Interest in learning new software platforms and databasesCompensation, Benefits & CultureSMG offers a competitive salary, a strong benefits package, flexible work and a large amount of paid time off.Our benefits package includes 401k matching, health, dental, vision and disability.
