Job Description : The Research Foundation for Mental Hygiene, Inc. is seeking a qualified applicant to fill the role of Executive Assistant. The Executive Assistant will perform administrative and project management functions with independent judgment, initiative, and discretion. Candidate must be a dependable, highly motivated, proactive individual with a ‘can-do’ attitude and someone who can work under pressure while adhering to tight deadlines. Candidate must be a self-starter and work independently, can think broadly and be very multitask oriented. Candidate must be professional. Effective team player with a strong, service-minded work ethic, candidate must maintain highest level of confidentiality, exceptional judgment, and diplomacy always. Candidate must have demonstrated ability to work with minimal supervision. Must be detail-oriented with outstanding organizational ability to set priorities with ease and manage diverse projects and a large volume of detailed work simultaneously. Also must possess excellent computer skills, including MS Office Suite (Word, Excel, PowerPoint).
Duties and Responsibilities:
-Maintain the Director’s calendar, including coordinating and scheduling appointments, meetings, and conferences (with strong follow-up); prepare agenda, meeting materials, and communicate with meeting participants. -Handle all telephone calls coming into Director’s office -Facilitate the day-to-day administrative tasks of the Director -Draft correspondence; prepare materials for meetings. -Expertly liaise with senior and administrative staff members and a wide variety of University and Hospital officials, faculty members, and external contacts. -Assist in preparation of special projects as assigned by the Director. -Coordinate data and maintain databases.
Minimum Qualifications:
Bachelor’s degree or the equivalent in education, training, and experience, plus 5-7 years of related experience.
In accordance with NYS Office of Mental Health regulations, RFMH employees are required to be fully vaccinated.
