Position : Executive Assistant
Job Description : The Executive Assistant is responsible for the functioning of the administrative details of the Executive Office including the flow of paper in and out of the office; the flow of visitors and appointments; the management of telephone traffic; and the control of the calendar. This position carries responsibility for the production of correspondence and circulation of agendas and minutes of various Board activities, follow-up related to correspondence and minutes, and anticipation of details required for future follow-up. The Executive Assistant will also support other members of the Executive Team (CAO, CFO, CPO, CHRO) on a project / as needed basis.Implicit in the position is the necessity for independent decision-making within guidelines developed. The person in the position also “manages” special projects, and some Optimist functions. Confidentiality and discretion is an absolute necessity.Essential Duties and Responsibilities Include: Distributes all incoming and outgoing mail to the executive office.Performs administrative support work for the CEO including transcription of letters, reports, questionnaires, notices of meeting and other agency functions.Maintain files and records for both the executive office and development department.Answers correspondence independently as assigned.Screens visitors and calls to the executive office.Attends Executive Committee and Advisory Board meetings and takes minutes.Compiles and distributes Board materials as required.Coordinates assigned special events and activities.Requires some evening and weekend work on occasion.Represents the CEO directly and indirectly.Informs CEO of any unusual events.Attends and participates in training as required.Other appropriate duties as assigned including but not limited to assisting the CFO, CPO, CAO, or CHRO on a project / as needed basis.Supports and promotes a trauma-informed culture throughout the organization.· Works to promote and support diversity, inclusion, and equity at all levels in the organization.· Participates in select Committees and ensures COA and other regulatory compliance.All employees, regardless of position, serve as role models for children and adolescents who are served by our Agencies.
