Job Description : Executive AssistantThe position will report to two executives; one based in Granville, Ohio and the other in Dallas, Texas. The executives run separate real estate companies and are partners on a number of ventures across the United States.Key AttributesThe EA will be a key member of the team. The candidate will specialize in looking ahead at key dates and tasks to assist the executives in all administrative matters, and will be proactive in ensuring that each executive is aware of key tasks and dates. He/she must be confident, extremely organized and experienced in managing a corporate support function.Position DescriptionSchedule appointments; manage calendars; assist executives in managing their respective time each day/week/monthManage and respond to administrative and legal tasks related to ownership entities (set up key dates in calendar, ensure responses by accountant or Wexford team; respond when appropriate)Receive calls and take phone messagesHandle light bookkeeping in QuickBooks Online, to include sending invoices and responding to clientsReview executives’ emails and file important items electronically; track key dates and deadlinesHard and/or soft copy filing and retrieving of corporate recordsPreparation of memos and emails on behalf of the executivesCreation and distribution of meeting minutes with a focus on follow up on key items/deadlinesAssistance with monitoring and following up on key corporate tasksDevelop systems and process for all administrative tasksMake travel reservations and arrangementsCreate and file expense reports to clients and Wexford for reimbursement using Quickbooks OnlineRespond to executives’ administrative requests as neededOrder suppliesCommunicate with executives about travel issues, upcoming appointments, and general issuesRequirements: MS OfficeStrong written and verbal skillsProven ability to organize prioritiesPrior experience supporting multiple executives preferredQuickbooks Online knowledge preferredCompensation: $50,000 to $70,000 depending on experience and qualificationsJob Type: Full-timePay: $50,000.00 – $70,000.00 per yearBenefits:401(k)401(k) matchingDental insuranceFlexible scheduleHealth insurancePaid time offVision insuranceSchedule:8 hour shiftMonday to FridaySupplemental Pay:Bonus payWork Location: One location
