The Digital Security & Resilience (DSR) team is looking for a seasoned and motivated Executive Assistant to support CVP & Chief Information Security Officer, Bret Arsenault. In this high impact role, you will have the opportunity to support a dynamic security leader and contribute to the acceleration of Microsoft’s security business while helping influence digital security attitudes and behaviors of employees across Microsoft!
A successful candidate has the ability to effectively manage a high workload under time constraints with a calm, confident and positive attitude, ability to work independently, deal with ambiguity and have a passion for making managers and organizations great. This position requires someone who has excellent communication skills, possesses the ability to set priorities, handle multiple time critical tasks simultaneously and lead the administrative team in a structured efficient manner.
Responsibilities
Key responsibilities:
Manage and prioritize complex calendars with strong attention to accuracy, timeliness, conflict resolution, and alignment to priorities and commitments
Coordinate CVP’s staff meetings, events and off sites, including agenda management, meeting logistics, and material preparation
Ability to look ahead and understand the prioritization of key objectives and help manage and track deliverables.
Provide end-to-end complex domestic and international travel planning and preparation, including making proactive adjustments to ROB meetings in tandem with impromptu external conferences and speaking engagements to drive schedule efficiencies
Act as representative for the DSR CISO office and maintain extreme professionalism when interacting with a wide spectrum of MS employees, executives, and outside organizations.
Partner with the Chief of Staff to effectively run the DSR organization and Rhythm of Business
Lead the DSR administrative team and ensure alignment on processes and procedures for team organizational support. Oversee execution of hiring and workload balance
Maintain understanding of the team budget, including Purchase Orders and expenses, and assist the admin team in doing the same for their teams
Personal Executive Support to CVP & CISO
Evening and weekend check for calendar changes and adjustments
Qualifications
Basic requirements:
Minimum 4 years of administrative experience in a fast-paced administrative role.
At least 3 years experience working in a highly ambiguous environment, where you had to solve routine problems, on short-notice, proactively and effectively.
Preferred requirements:
Have excellent interpersonal, organizational, planning and time management skills.
The aptitude for rolling with changing circumstances (direction and strategy) while continuing to have professional and positive interactions.
Ability to work well in a changing environment, under pressure while taking appropriate action.
Exercise sound judgment, tact, diplomacy, integrity and professionalism in all transactions as this is a highly visible role internally and externally.
High level of self-awareness and executive presence and intrinsic appreciation for the value that admins provide.
Adaptable and must work successfully in a team environment, building and maintaining effective. working relationships with a diverse group of contributors internally and externally.
Must maintain confidentiality of highly sensitive material and information with discretion and professionalism.
Proficiency with MS tools – MS Expense, My Order, MS Approval, MS Travel, etc.
