Job Description : Job Title: Logistics SupervisorDepartment: OperationsReports to: Manager of OperationsEffective Date: 3/18/2022Supervisor role – salary $70,000-$75,000Schedule: alternating weeks / one week is three 12 hr shifts / next week is four 12 hour shiftsDay shift / night shift available II. Basic FunctionTrinity Medical Solutions (TMS) is a 24/7 operation that provides a critical service to the organ donation and transplantation community. The role of Logistics Supervisor is critical in ensuring the organization’s ability to carry out its mission in servicing Organ Procurement Organizations (OPO’s) and Transplant Centers and provides oversight of the day to day logistical operations required by its customers. The Logistics Supervisor assumes additional responsibilities that include acting as the floor supervisor and as the point of escalation.III. Logistics Supervisor Essential FunctionsActs as the floor supervisor while on shift in the dispatch operations center. The Logistics Supervisor will be the point of escalation before the operations manager.Must constantly perform audits of all jobs and ensure all pertinent information is entered and entered correctly per TMS policies. Ensure all transportation has been secured (both air and ground)Ensure D2Ds and travel times are correctEnsure all files are uploaded into each TAC job (quotes, itineraries, etc.)Ensure service request documentation is all-inclusive before completion.Ensure pass-off is completed by each Logistics Coordinator.Work closely with the Training Manager in the development of new dispatchers and facilitates sign off training activities (final sign off resides with operations manager) throughout the orientation process.Develop and encourage growth of Logistic Coordinator I, II, and III’s.Ensuring that coordinators are completing necessary task while on shift. Example: filling out shift report each shift, documenting trip information in TAC, communicating effectively with customers, partners, logistics supervisor and leadership.Audit shift report while on shift and reach out to corresponding parties for action items and follow-ups.Provide formal leadership to the dispatch team through leading team projects including but not limited to: Coordinating and leading weekly coordinator meetingsOngoing Process improvement and developmentRealtime and ongoing training and developmentOnboarding new customersComplete peer reviews of LC I/II/IIIs and provide to leadership on a quarterly basis.Assist leadership in developing performance KPIs (key performance indicators) and performance metrics for logistics coordinator staff.Audit internal Trinity Air Medical SOPs to ensure coordinator staff has adequate resources and policies to perform job duties successfully.Demonstrated ability to critically think to ensure business decisions related to dispatch support the mission of the organization, are fiscally responsible and meet customer expectations.During certain times, the Logistics Supervisor will still be required to dispatch to support operational success.Demonstrated ability to be solution oriented and make effective decisions.Must have extensive knowledge of TMS policies and procedures including aircraft sourcing and customer processes.Will comply with all TMS policies and procedures and assist management with implementing new SOPs to the dispatch team.Serves as a positive team member to mentor, coach, encourage, and motivate the dispatch team daily.Will be responsible for maintaining the schedule on a rotating monthly basis that includes: finding staffing for call out’s, staffing open shifts, shift trades (approving, denying, tracking), managing the on-call schedule.Must be flexible to rotate nights and weekends to provide training and mentorship to newer dispatchers as required.May need to travel for in person meetings, trainings, and presentations with customers.When needed, the Logistics Supervisor will also be required to understand and complete job functions of a TMS Driver, including Medical Team pick up, Organ Pick Up/Drop off, Medical Specimen or Equipment runs, and other assigned driving duties (see driver job description for full detail of duties).V. QualificationsEducation/ExperienceMinimum 2-4 years’ experience in related fields such aslogistics, Aviation, Transportation, Healthcare Management, or experience working within an OPO or transplant centerSupervisory experience leading teams to achieve organizational goals2 year college degree preferred (or equivalent experience)Experience using computers and data entrySkills/AptitudesKnowledge of TMS policies and proceduresKnowledge of medical terminology related to donation and transplantationMust be able to apply learned knowledge to the job.Excellent communication and interpersonal skills.Must display integrity, initiative, perseverance, flexibility, teamwork, empathy, and persuasiveness.Must be very organized and able to coordinate projects.Must have excellent administrative skills such as completing paperwork, reports, and other projects in a timely manner.Requires the ability to work under stress with numerous interruptions, distractions and changing priorities.Physical and Mental RequirementsMust have command of the English language and be able to speak clearly to convey information to business contacts and other TMS employees over the phone and in person.Requires ability to work under stress with numerous interruptions, distractions and changing priorities.Must be proficient and safe driver with a clean Arizona driving record and license.Must be able to lift 50lbs.Must be able to sit for at least twelve hours a day.Night and weekend availability required.I have read and understand the above listed job requirements of this position.
