Job Description : POSITION TITLE: Administrative Assistant (Part-time)REPORTS TO: Program Officer – Capacity Building, Collaborations & New ProjectsEFFECTIVE DATE: March 2022Summary/ObjectiveThe Administrative Assistant is an integral part of the Foundation’s team and provides administrative, program, communications and technical support to the respective Program Officer. Technology proficiency is essential for this position and Microsoft Office and Google Suite skills are required. MicroEdge exposure is ideal, but not a prerequisite. The Assistant requires excellent organization, verbal communication skills, written communication skills, proofreading skills, effective prioritization skills, highly responsive and must be detail oriented. Online research skills, social media skills, and nonprofit experience are preferred. The person in this role should have a positive attitude and sincere commitment to the mission of enhancing the health and wellness of area residents.Essential FunctionsReasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.1. Grants/Strategic Planning Process:a. Accompanies Program Officer on select site visits, and records meeting notes/minutes.b. Assists Program Officer with scheduling, planning, organizing, and administrative tasks for informational sessions/seminars (e.g. Grantee Listening Sessions), including recording of minutes.c. Provides administrative support to the Strategic Planning Committee, including recording of minutes.d. Maintain and communicate attendance for meetings, workshops, etc.2. Special Projects/Community Collaborative Support:a. Assists with presentation drafts/edits.b. Attends and provides support for meetings, record/compose meeting minutes, assist in event planning and setup.c. Researches topics related to initiatives, including existing and new project development.d. Assists with new and existing initiatives, as necessary (e.g. capacity building).e. Provides general events planning and support for public meetings in the community, such as booth/materials setup, and discussion of materials or related topics with the public.f. Assists with communications content development as needed and upon request.g. Maintain and communicate meeting attendance.h. Maintain and update member/participant organization rosters.i. Serve as communication liaison, including email/telephonic point of contact when needed.j. Provides Program Officer support for workgroups, including scheduling, communications, attendance, agenda development, events, campaigns and related tasks.k. Supports marketing operations, campaigns, promotions and project activities.3. General Duties:a. Assists with development of timeline for workflow and planning.b. Provides general office-wide administrative support as needed and upon request.c. Receives and welcomes guests/visitors.d. Draft and send communicationse. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.Physical DemandsThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.While performing the duties of this job, the employee is regularly required to talk or hear. This is largely a sedentary role; however, some filing (physical/electronic) may be required. The filing requires the ability to lift files, open filing cabinets and bend or stand on a stool as necessary. The position also demands a high degree of typing.Position Type/Expected Hours of WorkThis is a permanent, part-time, non-exempt position that works 17-20 hours/week, maximum. Normal workdays are Monday through Friday, 8:00 a.m. to 4:30 p.m. Evening and weekend work may be required. No benefits are provided for this part-time position.TravelThis position may require travel to off-site meetings, grantee site visits or for training.Required Education and ExperienceMinimum of three (3) years Administrative Assistant experience required.Preferred Education and ExperienceAn Associate’s Degree, or equivalent experience in business administration and/or non-profit management required. Bachelor’s Degree is preferred.Additional Eligibility QualificationsSkills and knowledge in the design of graphic materials is a plus, including use of CANVA, Adobe Creative Suite, etc.Salary range: $20.00 – $25.00/hour (Commensurate with related experience.)
