Job Description : JOB DESCRIPTION FOR RESIDENT MANAGERThe primary responsibility of the Resident Manager is to ensure that the property and its building systems and procedures are maintained on a daily basis in accordance with the highest standards.Here are some specific areas that the Resident Manager should focus on. Please note that these items are not listed in any particular order.1. Ensure that safety and security procedures are strictly followed by all personnel. An alert and observant staff can prevent accidents, thefts, vandalism, and other potential problems.2. Keep the building’s public areas and sidewalks clean at all times. Cleanliness is extremely important, particularly in such areas as the lobby, elevators, corridors, and laundry room.3. Make sure that all outside repairs and alterations have been pre-authorized by the Property Manager. All trades people, contractors, workmen, etc. are to be questioned upon entering the building, and vital information kept on file in a well organized log. Under no circumstances should they be allowed entry without prior authorization. Once such work is underway, the Resident Manager should provide close monitoring.4. Maintain a chronological log containing brief reports of defective systems or machinery, accidents, complaints, major repairs, etc. and remedial action taken to correct the problems.5. Maintain an up-to-date written record of employee absences, tardiness, reprimands, and other infractions. Poor performance of any employee should be communicated to the Property Manager in a timely fashion.6. Work a regular schedule approved by the Property Manager, but stay flexible so that emergencies can be quickly responded to and spot checks can be made on employees and building systems during off hours.7. Possess a working knowledge of the mechanical systems of the building, e.g. heating plant, air conditioning units, pumps, compactor, etc. In addition, make sure a regular preventative maintenance program (written logs and check lists) is implemented for all major equipment and systems in the building.8. Dress appropriately in the regular work uniform as provided by or approved by management. A good example should be set for the staff, presenting a professional image at all times. Ensure that all employees are in proper uniforms at all times when on duty.9. Communicate all necessary instructions and directives to the building staff. Written memos should be utilized as necessary. Socializing with the staff at the front door, in the lobby or other public areas is discouraged.10. Maintain written job descriptions for all employees and a one page staff schedule.11. Maintain a written work order system for all resident repair requests.12. Maintain well organized files on all matters relating to operation of the property; e.g. payroll records, preventive maintenance reports, roof-to-basement inspection reports, work orders, employee actions/communications, etc.13. Ensure that emergency procedures and information (e.g. emergency phone numbers, valve chart) is in place.14. Perform periodic roof-to-basement inspections and keep written reports.15. Maintain a full set of emergency keys for apartments and other doors throughout the building. Regarding apartment keys, a secure system should be maintained with keys marked by codes not apartment numbers.16. Provide ongoing training and retraining of all building staff.17. Exercise good judgment in keeping the Property Manager informed of building activities and occurrences.18.
