Job Duties
Ohio Department of Public Safety – Ohio State Highway Patrol

Report in Location: 3333 Dorr St., Toledo, Ohio 43607

Provide secretarial assistance to Post Commander & other officers assigned to the post by relieving them of routine administrative tasks (i.e., maintain computerized reports & databases (e.g., payroll, criminal cases, crashes, equipment & supplies, requisitions & delivery, vehicle repairs, photo pouches, administrative investigations, forfeiture files, pursuits, training records and monthly weights); Draft, produce, format, or assist in formatting all types of correspondence & may sign (e.g., memos, letters, new releases, administrative action reports, background investigations, personnel records & evaluations, leave requests, associated benefit forms, schedules, etc.); Schedule off duty assignments; Provide orientation & training to others as needed.

Enter & verify payroll totals, leave & overtime claimed against the daily schedule & written log of post activity prior to computer entry, make computer entries & make modifications under supervisory direction; Receive invoices (e.g., date stamp, verify charges, record in account book for future payment); Maintain appropriate records for post supplies (e.g., gasoline, rental agreements, phone utilities, dry cleaning, car maintenance, etc.).

Perform related clerical tasks (e.g., answer telephone & take messages; screen & direct calls; maintain all post filing; maintain inventory of office supplies & requisitions when needed; greet visitors & direct them to the appropriate staff officer or directly assist them; sort & distributes mail; coordinate court assignments (e.g., forward subpoenas, confirm court dates, check on disposition of cases, etc.)); Perform other related duties as required.

Qualifications

1 yr. trg. or 1 yr. exp. in secretarial science or business office applications.

For positions requiring technical terminology, applicants must also have 6 mos. trg. or 6 mos. exp. in relevant technical terminology.

Or equivalent of Minimum Class Qualifications For Employment noted above.
Major Worker Characteristics:

Knowledge of: Inventory Control; Public Relations; *Office Practices & Procedures (ODPS & OSHP); *Agency Policies & Procedures (ODPS & OSHP); *Government Structure & Process.
Skill in: Word Processing (Microsoft Office applications); Equipment Operations
(general office equipment).
Ability to: Deal with problems involving several variables in familiar context; apply principles to solve practical, everyday problems; interpret variety of instructions in written, oral, picture or schedule form; calculate fractions, decimals & percentages; complete routine forms; maintain accurate records; transcribe dictation, make appointments; originate routine business letters reflecting standard procedures; PROOFREAD MATERIALS & MAKE CORRECTIONS; use proper research methods in gathering data; gather, collate & classify information about data, people or things; cooperate with co-workers on group projects, assess questions & provide appropriate information or referral; PROOFREAD TECHNICAL MATERIALS, RECOGNIZE ERRORS & MAKE CORRECTIONS; cooperate with co-workers on group projects.
