Position : Customer Clerk
Job Description : JOB PURPOSE/SUMMARY:
Assist Operations in the movement of cargo arriving from the Neighbor Islands (NI). Notify customers of cargo availability and direct them to the appropriate pickup area. Retrieves and prepares pouch for outgoing cargo.
ESSENTIAL FUNCTIONS:
Do daily incoming cargo phone recording.
Answer all calls regarding incoming cargo.
Stamp and file Bills of Lading (BLs) for incoming cargo and other incoming correspondence.
Distribute BLs to customers and direct them to appropriate pick up location as necessary.
Collect BLs and other documents from various CS personnel and FC stations in the yard and distribute accordingly.
File BLs and other correspondence (Bonded, mail, etc.) for outgoing barges in its appropriate pouch folders and prepare outgoing pouches for courier or barge clerk.
Take payment information via phone, fax or email for incoming cargo and distribute to Documentation for processing.
Prepare correspondence to customers utilizing Microsoft “Word” and “Outlook.”
Prepare various spreadsheets utilizing Microsoft “Excel.”
Prepare BLs for imaging
Maintain files of EPA Haz Waste Manifests and copy all Haz Manifests.
Bill storage charges for all late cargo pickup.
Bills miscellaneous charges for incoming cargo.
Prepare and mail (certified) abandon letter for abandoned cargo.
Maintain WIP in FACE for cash errors.
Order office supplies, documents (BLs, Haz, Blank freight bills) and other office necessities as needed.
OTHER DUTIES/FUNCTIONS:
Performs other duties within classification.
WORKING CONDITIONS:
Air-conditioned, fast-paced office environment, occasional outside work in all weather conditions. Equipment Use: Computer, 10-key adding machine, telephone, copy machine and facsimile Machine, electric or gas-powered golf cart. Work hours: Monday through Friday shifts rotating from 7:00 am – 3:30, 7:30 am – 4:00 pm and 8:00 am – 4:30 pm or as required by operational needs, Saturdays 7:15 – 12:30 on a rotational basis, and overtime as required by operational needs.
MENTAL DEMANDS:
Must possess a valid driver’s license.
Must be able to do basic mathematical calculations.
Must be attentive to detail and able to concentrate on the task at hand.
Must be able to proficiently read and write in English.
Must have good verbal communication skills.
Must have pleasant personality, be customer-service oriented and have proper telephone techniques.
Must be able to work in a fast-paced and pressured work environment.
PHYSICAL DEMANDS:
Sitting: Constantly for all duties.
Stooping, kneeling, crouching, crawling: Occasionally to obtain documents for issuance to customers.
Squatting: Occasionally to obtain documents for issuance to customers.
Standing: Occasionally to file.
Walking: Occasionally to obtain documents from piers.
Reaching: Occasionally to file.
Handling: Constantly filing and retrieving documents.
Fingering: Constantly to dial touch-tone phone, using calculator and computer keyboards, and scanning through documents.
Eye-hand-foot coordination: Constantly to dial touch-tone phone, using calculator and computer keyboards, and scanning through documents.
Vision: (corrected, depth perception): Constantly to read computer terminal and documents, 10-key adding machine, telephone, maneuver bicycle or golf cart around piers, etc.
Pushing/Pulling: 20 pounds, Occasionally to move supplies and roll-around files.
Lifting/Carrying: 20 pounds, Seldom to move supplies.
QUALIFICATIONS/REQUIREMENTS (Licenses, Degrees, Certificates):
Valid Driver’s License required.
Skills/Knowledge: Must be able to proficiently operate basic office equipment such as telephone, 10key adding machine, computer literate (Microsoft Office Environment), and be able to keyboard minimum of 35 wpm. Ability to be Customer Service focused and multi tasked oriented. Good listening and communication skills required (verbal, reading, and writing) that allow clear and precise transfer of information.
