Job Description : Office Assistant
The Office Assistant performs front desk duties for the Zoo, which involves answering a multi-line switchboard system, screening and routing calls, providing assistance to and greeting visitors. Reports to the Senior HR Generalist.
Office Assistant responsibilities include:
Provides support and assistance to the Human Resources and Maintenance department, which involves providing clerical and secretarial services.
Performs receptionist duties, which involves answering a multi-line switchboard system, screening and routing calls, providing assistance, answering questions, and making calls as requested.
Greets visitors entering the office and determines how to address the need of the individual. This could include vendors, guests requesting information, disbursing applications, accepting deliveries and pick‑ups etc.
Maintains required lists and logs.
Keeps front desk area tidy and presentable with all necessary materials (pens, forms, paper etc.)
Reports any switchboard problems or malfunctions to IT.
Maintains information at the switchboard; events, programs, animal rehabilitation and rescue information, donor pamphlets, maps, etc.
Prepares, processes, and records monthly reports for the Maintenance Department
Provides training for relief operators.
Logs and files uniform and boot purchase orders.
Minimum Training and Experience
High school diploma and six months of experience in office assistant/front desk customer service duties, or an equivalent combination of education and experience. This position is a non-exempt salary position under the Fair Labor Standards Act and requires forty hours per scheduled work week. Must have a valid drivers’ license and insurable by the fleet insurance carrier. The Toledo Zoo is an Equal Opportunity Employer, a drug and alcohol free workplace and offers a competitive salary and benefits package. The salary range for this position is $33,000 – $38,000 but we are able to be flexible for the right candidate.
