Role Overview
The Urban Assembly (UA) is seeking a creative and dedicated Office Coordinator to join our Operations & Data team. The Office Coordinator will ensure smooth operations and management of Urban Assembly’s workspaces, both the virtual and, especially, the physical space. They will collaborate with and support the work of teammates across the organization to advance the UA mission.
This is an opportunity to join an engaged, collaborative, mission-driven staff and to take part in the critical work of advancing the social and economic mobility of NYC students and students around the country. This position collaborates with and reports to the Director of Operations & Data, supports both school and office-based staff, and is based at Urban Assembly’s central office in Manhattan’s Financial District.

The Urban Assembly’s mission is to advance students’ social and economic mobility by improving public education. The UA provides schools and districts with innovative data-driven, student-centered approaches to career and technical education, academics, social-emotional learning, and postsecondary access and success. The (UA) founded a network of unique, small public secondary schools throughout NYC. UA schools are open to all students, and our goal is to prepare 100% of UA graduates for success in the 21st-century economy.

Job Description

Responsibilities:
Develop and maintain a productive and beautiful work environment in UA’s physical office space
Receive incoming calls, guests, queries, as well as mail and packages
Improve and maintain relationships with regular vendors and the office building
Provide technical support for office equipment (printers, kitchen appliances, phones)
Maintain well-stocked and organized inventory of office supplies
Execute catering and space coordination requests for in-person events where requested
Manage invitations, tech support, and settings for virtual events where requested
Take initiative to monitor and address office tidiness in the immediate and future terms
Keep UA’s records up to date and loops closed
Support scheduling, travel, and expenses for the CEO in collaboration with the Chief of Staff
Reconcile Operations expenses and maintain impeccable records for self and others
Manage job postings for open positions
Maintain up to-date contact lists and Google Groups
Utilize project management systems (Asana) to track and communicate progress on tasks and projects daily
Connect to the mission of the organization
Attend and support Team and Staff meetings on a range of topics
Contribute to an up-to-date internal hub of FAQs, self-guided resources, and intranet items
Communicate frequently with colleagues on all levels to share progress and plans
Manage or contribute to short and long-term Operations initiatives
This work is broad-ranging, requiring someone who can jump into a variety of different roles. Additional qualifications include:
ability to work in-person 9am-5pm Monday through Friday and move packages or equipment around the office (up to 20 lbs)
experience with Google Workspace required (Docs, Sheets, Slides)
experience with Zoom, Slack, and Asana preferred
Salary and Benefits
Salary range is commensurate with experience ($50,000-$60,000/year), and includes an excellent benefits package; including employer-funded healthcare, transit benefits, financial support for professional development, and generous vacation time.
