Job Description : Operations Coordinator___________________________________________________________________________The Operations Administrative Assistant will provide administrative and clerical support to theVP of Operations to include all activity regarding floor plan design administration that allowsView Homes to achieve its profit and growth goals and to facilitate the flow of all floor plan information from the Operations to the divisional level and all related vendors and sub- contractors, as required.___________________________________________________________________________PRINCIPAL DUTIES: The following duties are performed by the Operations Administrative Assistant:Manage New Plan Development schedule with multiple vendors and divisions to ensure all required documentation for plan development is finalized and complete package are available to the divisions in a timely manner.Manage digital filing for all current plans and content by plan series.Implement and manage “plan mastering” with all divisions.Complete a broad variety of administrative tasks including: managing an extremely active calendar of appointments; compiling and providing complete reports, composing and preparing correspondence that is sometimes confidential; arranging travel plans, itineraries, and agendas; filing; etc.,;Research, prioritize, and follow up on incoming issues and concerns addressed to theVP of Operations, including those of a sensitive and/or confidential nature. Determine appropriate course of action, referral, or response;Handle matters expeditiously, proactively, and follows-through on projects to successful completion;Assist in coordinating the agenda of team meetings and off-site meetings;Successfully manage multiple initiatives simultaneously;Ability to exercise good judgment in a variety of situations.___________________________________________________________________________MINIMUM QUALIFICATIONS: EXPERIENCE: Minimum two years’ experience providing administrative support for an executive role.EDUCATION: Minimum two years college, professional or vocational training in this field, or exceptional direct experience.EEO/OSHA/ADA: Able to manipulate and use CRT/screens, keyboards, mouse/pointing devices, etc., associated with contemporary computers.
