Job Description : Must be courteous and professional. Must have previous computerized practice management system experience. Duties include registration, eligibility, appointment scheduling, collecting balances and copays.This individual is responsible for welcoming patients to the practice, treating all patients in a professional and courteous manner, checking-in patients, reviewing patient charts to verify necessary information and signatures, and entering new patient information into computer.Education and Experience: 1. High school diploma or equivalent.2. Two years minimum experience in medical practice.Essential Skills and Abilities: 1. Excellent customer service and communication skills.2. Ability to work as a team member.3. Management of multiple tasks simultaneously.4. Motivation to succeed.5. Empathetic personality giving attention to patient’s needs and concerns.6. Working knowledge of Excel.7. Strong organization with attention to detail.8. Respectful treatment of patients and co-workers.RESPONSIBILITIES: 1. Patient Check-InChecks patients in, greeting everyone in a pleasant and professional manner.Tracks patients in the reception area and communicate with them, as needed.Evaluates chart data to verify all information has been received, completed, and signatures obtained.Scan patient’s insurance card & IDEnsures that proper authorization or referral is collected from the patient.Assists patients in obtaining authorization or referrals that have not been received by the practice.Enters all new patient demographic information into the computer.Places charts in bin for specific physician or technician.Marks arrival time of patients in office and make sure that patients are seen on time.2. Telephonesa. Answers inbound telephone calls and routes to appropriate person.b. Processes telephone calls regarding appointments.c. Transfers calls requesting medical advice, prescription refills or surgery information to the tech.d. Transfers calls seeking financial information to the revenue cycle specialist.e. Transfers calls from physicians to the doctor they have requested or to the doctor who is presently on call.f. Provides accurate messaging documentation all other calls.3. Patient Dischargea. Intercepts patients upon discharge from treatment areas.b. Reads the check out notes to be sure all necessary information has been recorded; obtains any additional information needed before patient departs.c. Totals daily charges, requests payments, and provides receipts.d. Reappoints, or recalls patient.e. Posts charges and payments to computer.4. Day-End Closeouta. Totals and balances all tapes on close-out report.b. Runs tape total of all checks and cash received.c. Balances against totals generated by the system.d. Prepares items & cash for deposit.5. Reception RoomInspects reception room for neatness.b. Checks magazines for current dates.c. Rotates magazines from drop areas back to the reception room.d. Picks up anything left behind by patients (empty cups, crushed tissues, etc.).e. Straightens and replaces chairs to original positions.f. Replenishes the patient refreshments6. Othera. Tidies office on non-cleaning crew daysb. Balances petty cash account.c.
