Meeting and Events Coordinator, Office of the CEO
OVERVIEW

The Meeting Coordinator will support the Office of the CEO Meeting and Events Team to successfully execute Board of Directors Meetings, Leadership Meeting and other C-Suite meetings and events locally and abroad. This position requires a candidate that enjoys working in a group setting but is also a self-starter and can work independently.

ROLE

The Coordinator will work directly with the team to develop and adhere to project timelines and take ownership of some support departments, i.e. attendee management, travel coordination, vendor payments, interaction and leadership with 3rd Party Suppliers, presentation creation and editing, etc.

Researches and procures information from suppliers, venues, restaurants, gifting, activities, etc.
Assists in developing venue presentation deck for client meetings
Participates in client calls, and weekly planning meetings as directed by planner
Participates in site inspections, vendor meetings and provide onsite support as needed (extensive travel is required)
Leverage Cvent to assist with attendee management and invitation process
Maintain the organization and archiving of meeting documents, templates, agendas, etc.
Manages processes/tools to ensure departmental compliance including; Coupa, Oracle, Group Air, etc.
Create and communicate travel itineraries for VIP/Board of Directors
Manages Office of CEO and Global Board department supplies
Produce collateral; name badges, labels, tent cards, etc.
Responsible for packing and shipping of materials and supplies to venue
Create and manage guestlists and web registration sites
Develop onsite meeting binders for managers
Acts as an ambassador of the Mastercard brand and demonstrates the highest level of ethics and protocol at all times
Meets all deadlines as established by leadership and client vendors
Other responsibilities as assigned
