Position : Office Administrator

Job Description : This is a position in our substance abuse outpatient treatment center responsible for performing administrative duties and support tasks for efficient daily operation. The Office Administrator also performs important duties that help the program stay in compliance with Health and Safety standards as well as state and federal regulations. This position is a key role in the organization as they often present the first impression of the organization to patients and guests. Work is performed under the supervision of the Program Director and is reviewed through observation, review of documentation and service delivery, conferences, and reports. This position is accountable to the Program Director and Director of Clinic OperationsE*xamples of Duties: *1. Welcoming patients and guests as they arrive2. Monitoring sign-in procedures and patient activity in the lobby3. Monitoring visitor access4. Answering and directing telephone calls5. Maintaining confidentiality procedures in all interactions with patients, staff, visitors, and callers6. Receiving and sorting mail and deliveries, including sending proof of delivery7. Performing patient “check-in” procedures, relaying information to them that is displayed through our software system during this process8. Assisting with scheduling counseling and other appointments9. Taking payments and posting to patient accounts10. Making daily bank deposits11. Completing daily financial reports including reconciliation of patient accounts12. Checking for insurance eligibility, record results, and keep good documentation13. Creating initial patient record, filing and general upkeep of the patient files14. Maintaining inventory of office supplies and submitting purchase orders as needed15. Participating in treatment team meetings; taking detailed minutes of weekly meetings16. Obtaining and maintaining patient drug screen results in accordance with company standards and procedures17. Assisting with the maintenance of portions of the personnel records to include:a. Updating license verifications as neededb. Tracking annual TB tests due for employeesc. Scheduling CPR and Crisis Intervention trainings for new staff, and as needed for all employees.18.Assisting the Program Director with performing Monthly Compliance Requirements:a. Conducting and documenting all Health and Safety Drillsb. Educating staff on Telephone Skills, Customer Services Skills, Accounting and Cash Handling Proceduresc. Performing the quarterly Health and Safety Inspection for the clinicd. Acting as the Health and Safety Officer for the clinic.e. Monitoring the collection of Outcomes Questionnaires from patients.19. Overseeing building maintenance activities:a. Scheduling and following up with fire equipment inspections and Fire Marshall.b. Scheduling repairs as needed – for example HVAC, toilet repairs, plumbing issues.Required Knowledge and Skills: · Strong Customer Service Skills· Bookkeeping· Microsoft Word, Outlook, Excel· Working knowledge of office equipment like printers, faxes, scanners· Strong time management skills· Attention to detail· Problem-solving· Excellent oral and written communication skills· Payment processing and cash handling· Ability to interact with the population served in an appropriate mannerQualifications, Education and Experience: · Associates degree preferred· One year work experience in a professional setting performing administrative and/or office management duties.· Prefer experience in a substance abuse treatment facility, general office experience or secretarial/accounting skills.· Knowledge and experience with Medicaid eligibility and billing preferredJob Type: Full-timePay: $17.00 – $22.00 per hourBenefits:401(k) matchingHealth insurancePaid time offSchedule:Day shiftAbility to commute/relocate:Annandale, VA 22003: Reliably commute or planning to relocate before starting work (Preferred)Application Question(s):Are you willing and able to undergo the required drug and background checks?Experience:Office Managers: 1 year (Preferred)Microsoft Office: 1 year (Preferred)Administrative experience: 1 year (Preferred)Language:English (Required)Work Location: One location
