Job Description : GENERAL STATEMENT OF THE JOBUnder occasional supervision, provides clerical support in various Divisions of the Fire Rescue Department. Proficient in a variety of computer software applications. Answers telephone, greets visitors, maintains files, types correspondence and reports, and performs other tasks to ensure the efficient operation of the department. Maintains all Fire Rescue Department related reports and records on computer. Reports to the Fire Chief, Assistant Chiefs, Division Chiefs or Designee.Specific Duties and ResponsibilitiesESSENTIAL JOB FUNCTIONSProvides clerical support to the Fire Rescue Department, including the Fire Prevention Staff, Administration, Operations and Logistics.Answers telephone, responds to requests for information and citizen complaints, and directs calls to appropriate staff.Assists in the scheduling of appointments and maintaining the calendars for the Chief Officers and other personnel as required.Provides assistance to the Chiefs with patient care reports and Fire Prevention billing as required.Prepares and handles information that is confidential and sensitive in nature. Follows appropriate HIPAA guidelines in the handling of Protected Health Information (PHI).Records and maintains records of all Fire Operations Division, activities, EMS reports, including completing required paperwork and entering data into computers.Types a variety of correspondence, technical reports and memos, as directed by Fire Rescue Department staff.Compiles information and prepares reports, Ordinances, Resolutions, grant applications, agendas, agreements, and other documents, as directed.Assists with the coordination of CPR classesAssists with the tracking of purchase requisitions and field purchase orders for the Fire Rescue Department as required.Performs routine clerical tasks, including but not limited to copying, collating, filling out forms and mailing.Files, organizes and maintains office records.Monitors and logs correspondence and interdepartmental memoranda.Maintains inventory of departmental supplies and equipment and orders supplies as necessary.Prepares and processes payroll.Attends Fire Operations, Fire Prevention, CQI, and other Departmental Meetings and processes minutes.Maintains and processes all departmental records, including operations calendar, scorecards, transactional surveys, NIMS, employee travel, employee education requests/reimbursements, etc.Maintains filing system and department library collection.Maintains and coordinates student rider’s schedules.Provides clerical support in budget preparation.Provides office support for Emergency Operation Center during emergency periods.Interacts and communicates with a variety of groups and individuals including departmental personnel, inspectors, City department heads and employees, contractors and the public.Receives, reviews, prepares and/or submits various records and reports including activities reports, EMS reports, quarterly departmental reports, record requests, etc.Operates a variety of office equipment in the performance of job tasks, including computer, printer, copier, typewriter, facsimile machine, telephone.ADDITIONAL JOB FUNCTIONSResearches and compiles data for a variety of reports.Performs other related duties as required.Minimum Training and ExperienceRequires high school diploma or GED supplemented by at least two years clerical and/or administrative support experience, or an equivalent combination of training and experience that provides the required knowledge, skills and abilities. Must demonstrate proficiency in computer software applications through the completion of a skills assessment exercise.NOTE: Job description, minimum qualifications, and the standards required to perform the essential functions are detailed in the official job description.
