Job Description : Join our team and become the Onboarding & Training Administrative Assistant in the Public High School International Exchange Program (J1 Program) as sponsored by the Department of State!We are seeking a Onboarding & Training Administrative Assistant to join our team! ETC is a U.S. State Department designated international exchange student program that places high school foreign exchange students with volunteer host families and believes in goodwill and international understanding.This role will interact and support our local coordinators through hiring and trainings. This role will also need to be heavily versed in administrative skills, multitasking and attention to detail. This is not a recruitment role. This position must ensure our staff stays in compliance and our systems reflect this information accurately. We also would like this role to assist with content or live training calls as needed. THIS IS A FULLY REMOTE POSITION that must live in the Phoenix Metro Area.The essential job duties and skills are as per below. Job duties may change at any time at the discretion of ETC:Essential ResponsibilitiesHiring/Onboarding – Review new local coordinator paperwork and maintain data entry- Create Local Coordinator (LC) Accounts within LMS- Upload items needed for hiring into LC application- Review Criminal Background Checks (CBC)- Review MCFs submitted by LCs to ensure compliance with ETC standardsTraining & Development- Manage training completion data entry for all LCs- Maintain schedule of consistent follow up with LCs and Field Managers to ensure proper trainings are completed and recorded for each role.- Update and maintain existing training tools and programs (i.e., Airtable, ProProfs, PowerPoint, etc.)· Facilitate inter-departmental communication to effectively provide continued training opportunities and updatesHF Recruitment/Lead Generation· Assist field staff with recruitment and follow up with leads when required (this will be heavily required by all full-time staff during certain times throughout the year including but not limited to July & August.)Additional Administrative Duties· Travel for domestic conferences when required· Travel for international conferences may be earned via host family recruitment· Assist in creation and maintenance of Employee Appreciation and Recognition Program· Routinely update forms, documents, and training materials for both ETC J-1 and PSE F-1 programs· Assist with the maintenance the ETC Microsoft SharePoint (i.e., shared drive) with the most recent documents, trainings, and relevant materialsRequired Qualifications: Demonstrated knowledge of highly developed administrative skillsDemonstrated proficiency using MS office business suites (e.g. MS Word, MS PowerPoint, MS Excel, MS Teams, MS SharePoint etc.)Ability to work independentlyProfessional communication and presentation skillsStrong organizational and follow-up skills, as well as high attention to detailPreferred Qualifications: Associate degree is min to applyOnboarding, Hiring, Training Experience 3 years+Expert in MS Office (Specifically Outlook), Experience with ZOOM video conferencing, learning system management and customer relationship management systems, including but not limited to Zoom, Skype, Airtable, etc.Previous experience in the field of Foreign Exchange a plus!Job Type: Full-timePay: $20.00 – $21.00 per hourBenefits:401(k)401(k) matchingDental insuranceFlexible scheduleHealth insuranceLife insurancePaid time offProfessional development assistanceVision insuranceSchedule:8 hour shiftMonday to FridayApplication Question(s):Do you have any prior experience living abroad?Do you live in the Phoenix-Metro Area?
