Additional Information: In accordance with Governor Jay Inslee’s announced Proclamation 21-14.1 on August 18th, 2021, all K-12 school district employees are required to be fully vaccinated against COVID-19 by October 18th, 2021. Examples Of Duties
This position maintains and ensures proper usage of the District’s student systems including the Student Information Systems (SIS) and the learning management system; ensures the design, application, usage, and improvements of the student information systems aligns with District needs; collaborates with District staff, administrators, vendors, and outside agencies to provide guidance on complex procedural and data questions regarding reporting and use of student information systems; maintains knowledge of and ensures compliance with District, federal, and state policies, reporting, and regulations to optimize data integrity of student systems.
ESSENTIAL JOB FUNCTIONS
1. Maintains thorough understanding of all aspects, including system administrator and functions of user interface, of the District SIS, learning management system and student data reporting; documents users’ needs and program functions to align business processes; develops training materials and reports to support user and administrative needs; develops and implements procedures for the purpose of accurate data and reporting.
2. Participates actively in the planning, design, testing, evaluation, and implementation for any changes to supported District systems and reporting; monitors and maintains data integrity for the District, state, and federal reporting; designs, tests, and audits report specifications and tracking processes; identifies and works to resolve procedural concerns; reports findings and recommends solutions to the administrator for the purpose of maintaining accurate systems.
3. Supports District end users; recommends features and functionality of District student applications and reporting; researches, tests, and recommends specific solutions to resolve user or data problems or to improve operational efficiencies; provides technical assistance to District staff for entering and retrieving information from supported applications; collaborates with District staff and users to collect information and end user requirements; keeps users informed of system and procedural updates and revisions; provides updated training and documentation for supported applications; provides technical assistance, as needed, for the purpose of resolving issues.
4. Integral support in maintaining data integrity for District, state, and federal reporting; assists with the design of the audit report specifications and tracking processes; assists with the statistical data analysis in preparation for internal and external reporting; identifies procedural concerns; reports findings and recommends solutions to administrators.
5. Supports scheduling and setup of student application system task processes that tracks the student system data calculations and lifecycle maintenance; ensures District courses accurately reflect credit and rigor in support of student graduation requirements and transcripts; monitors tasks and recommends solutions for problems to administrators.
6. Responsible for the District’s regulatory compliance reporting that is generated from student information systems including, but not limited to, CEDARS, apportionment reporting, and ancillary reports, District graduation rates, and Office of Civil Rights; ensures accuracy and timeliness of all submissions, including regular updates and testing; collaborates with application vendors, Office of the Superintendent of Public Instruction (OSPI), other districts, and Tacoma Public School (TPS) staff to maintain accuracy.
7. Researches, tests, recommends, and implements solutions to complex data and procedural questions regarding District, state, and federal reporting interpretations and compliance for the purpose of accurate District benchmarks.
8. Ensures data integrity within supported applications by verifying calculations and functions; monitors user practices to identify and resolve variant procedures; actively seeks out opportunities to improve processes; participates as member of the project team bringing subject matter expertise to ensure system and reporting compliance with District, state, and federal policies and regulations for the purpose of data integrity and new and/or revised system functionality.
9. Supports the maintenance of the supported applications functionality in compliance with District, state, and federal requirements; leads the development, maintenance, and testing of auditing processes, application enhancement, and software modifications; identifies areas where users are impacted and develops communication and training.
10. Manages significant recurring District processes such as, but not limited to, grade reporting, student scheduling, student enrollment, dropout monitoring, on-track to graduate, year-end processes, and boundary adjustments.
11. Maintains user and role-based access and security for supported applications; evaluates appropriateness of security requests.
12. Develops, maintains, and monitors student system tasks and timelines, reviews user needs and requests; assesses student system scope and limitations by actively researching and testing functionality; monitors and develops extracts to support District sanctioned out of District applications.
13. Collaborates with District administrators, District technical staff, vendors, consultants, and government agencies to research, identify, and resolve technical application concerns and/or questions; reviews and tests system components and and/or application releases with the applicable documentation for accuracy and consistency; tests software updates when installed; documents testing results, findings, and concerns to make data driven recommendations to administrators; as necessary, files and manages cases with appropriate vendors for the purpose of system improvements.

REPORTING RELATIONSHIPS
Reports to the Assistant Director, DATA, SIS, and Enrollment or another assigned administrator.
CONDITIONS
Office environment; required to attend meetings at other District sites; required to work overtime as needed; experiences prolonged visual concentration and exposure to video display; experiences frequent interruptions; may be required to work with difficult and sensitive situations and/or people; may be required to lift and carry up to 20 pounds, bend, squat, stoop, kneel, crouch, walk, twist, climb, and/or be mobile.
Minimum Qualifications
Education and Experience
High school graduation or equivalent; Associates degree in Computer Science, Business Administration, or related field, preferred; three years of increasingly responsible experience using a student information system; experience with District supported applications, enrollment software, and learning management systems, preferred; or any combination of experience and training which provides the applicant with the knowledge, skills, and ability required to perform the work.
Licenses/Special Requirements
Valid Washington driver’s license with access to personal transportation.
Fingerprints and successful WSP and FBI background clearance/sexual misconduct clearance.
Allowable Substitution
Equivalent combinations of education and experience may be evaluated by the Human Resources department for comparability.
