Position : Accounts Payable Specialist
Job Description : PRIMARY PURPOSE · To process various Accounts Payable transactions as well as process all Payroll activities; to support annual A-133 single audit activities; and to assist the organization by providing efficient and effective financial process to further its mission and goals.· Possess the ability to understand and perform within the organizational structure of culture-based education (CBE) and family engagement through knowledge of and implementation of Hawaiian culture and dual language opportunities.ESSENTIAL DUTIES / FUNCTIONS · Full cycle A/P to include: process and post Account Payable into our accounting system. Monthly review of A/P aging reports.· Process check requests, match invoices to checks, obtain all signatures for checks and distribute checks accordingly.· Review all invoices for appropriate documentation and approval prior to payment.· Reconcile vendor statements, research, and correct discrepancies.· 1099 maintenance.· GET Quarterly Payments.· Maintain required records, reports and files confidentially and in an organized manner and maintain confidentiality.· Fulfills independent auditor requests as required during the audit fieldwork.· Supports grant accounting compliance with OMB A-122, A-133, and A-110, and other compliance guidelines/governmental agency requirements.· Various office administrative tasks as assigned· Performs other duties as assigned by the Controller.WORKING CONDITIONS· Work in air-conditioned office, periodic outdoor weather conditions.EQUIPMENT USED· All normal office equipment, i.e., computer, fax machine, shredder, stamp machine.MINIMUM QUALIFICATION REQUIREMENTSSkills/Knowledge: o Must process all transactions with a clear understanding of Generally Accepted Accounting Principles – GAAP, from an accrual accounting perspective.o Must process all transaction in compliance with OMB circular A-122 as well as other governing documents applying to federal, state and local funding sources.o Must become technically proficient in QuickBooks, Microsoft Office Excel and Word.o Must solve complex math problems and demonstrate a superior problem-solve ability.o Must maintain a strong “hiki no” (can do) attitude and work ethics.o Must be able to switch quickly to other priority task with little or no transition.o Must maintain records of future transaction and process them in a timely mannero Must maintain a record of uncompleted tasks and insure completion in a timely manner.o Must maintain accurate records of all transactions in an accessible filing systemo Must demonstrate willingness to work as a productive and collaborative team member.o Must demonstrate sensitivity to client family needs and native Hawaiian cultural environment and perspectives.Education/Training: Associates Degree in Accounting or related fieldExperience: Minimum four years of experience in a related setting.MENTAL, PHYSICAL and COMMUNICATION DEMANDSPhysical Demands: o Ability to move laterally, maneuver and lift up to 40 pounds.Communication Demands: o Must communicate both orally and in writing clearly and in keeping with the Native Hawaiian values, principles and practices.o In-home access to WIFI and Internet.o This job requires in person face-to-face contact.Job Type: Full-timePay: From $19.00 per hourBenefits:401(k)401(k) matchingDental insuranceEmployee assistance programHealth insuranceLife insurancePaid time offVision insuranceSchedule:8 hour shiftMonday to FridayEducation:Associate (Preferred)Work Location: One location
