Job Description : Administrative Assistant
Delivering great service to buyers/renters and sellers/landlords is challenging. Transactions are complex and no two are the same. In this role you will be supporting a top real estate team in administrative and transactional tasks that involve real estate and property management. If you enjoy being in a supporting role, like a challenge, and want to learn from top agents in the marketplace, this is the role for you.
Responsibilities Include:

Create new listings on MLS services and ensure that all documentation is signed and uploaded to the database system.
Create leases and lease renewals
Manage new tenant move-in process
Complete transactions and tasks related to the financial operation of the property including the handling of checks received from clients
Maintaining all necessary financial records in an accurate and timely manner
Resolve tenant issues or complaints
Issue appropriate notices when needed
Ensure that the telephone is answered properly, and messages are handled courteously, accurately, and responded to in a timely manner
Coordinate, track and maintain repair requests and maintenance programs relating to the interior and exterior conditions and appearance of the properties
Manage external vendors including vendor negotiation for service agreements, day-to-day monitoring of vendor performance and invoicing
Maintain the accuracy of the building and tenant files and documents to ensure accurate records are kept
Perform administrative functions including but not limited to: record keeping, filing, mail collection and distribution, data entry, bank / post office runs, and other essential needs as required

Qualifications:

Highly organized and extremely detail oriented
Fast learner, ability to adapt to new systems.
Flexible in daily routine; ability to prioritize and manage shifting responsibilities
Excellent customer service can empathize and build relationships with a variety of personalities
Update and be mindful of property transaction management within our company systems to ensure confidentiality, organization, and compliance
Professional phone skills and the ability to write professional emails and communicate clearly in written format.
A driver’s license

Required Skills:

Experience working with real estate agents/real estate firm previously
Must be proficient with digital tools such as the operating system, Google Drive, Spreadsheets, Email, Presentations
