Job Description : $500 SIGNING BONUS

JOB SUMMARY

Under the general supervision of the Office Manager, the Administrative Associate provides high-level customer service to include receiving and routing in-person and telephone inquiries, completing clerical tasks in support of office operations, and other assigned projects. All Community Connections employees are expected to contribute to the professional reputation of the agency through understanding and promoting the organization’s mission and core values in all aspects of services.
DUTIES & ESSENTIAL JOB FUNCTIONS

Operates the front desk, opening and/or closing the office daily. This includes successfully answering and routing phone calls, utilizing a multi-line phone system with 50+ extensions, takes and relays messages, replies or routes inquiries and greets visitors using judgment and the interpretation of policies, rules and procedures and ordinances;

Provides purchasing and accounts payable assistance including mileage tracking, preparing purchase orders, ensuring appropriate authorizations; scanning, and coordination with the Ketchikan based Accounts Payable Manager;

Assists in planning and prepping for meetings and other special events;

Assists in human resources duties including assembling position specific application packets & cover sheets, performing employee orientations and acting as a back-up Annual Employee Update trainer;

Assists with facility oversight, ensuring cleanliness and tidiness of shared spaces and appliances, and sharing in facility disinfection procedures;

Coordinates agency vehicle usage and upkeep to include scheduling vehicle use, ensuring vehicle procedures are followed by all employees, proactive maintenance occurs regularly, conducting vehicle safety inspections, and arranging vehicle maintenance and detailing;

Performs clerical duties including but not limited to data entry, maintaining appropriate files, screening and routing mail and documents, and creating mass mailings;

Other duties as assigned.

KNOWLEDGE, SKILLS & ABILITIES

Knowledge of computer applications related to the work, including but not limited to database, spreadsheets, and word processing programs;

Skilled in and ability to use business arithmetic;

Skilled in and ability to perform intermediate level data entry;

Skilled in and ability to use records management principles and practices;

Skilled in office administrative practices and procedures including standard office equipment use;

Ability to professionally interact and communicate positively with diverse populations including families, team members, supervisors, and the public;

Ability to be friendly and outgoing, with a notably positive attitude;

Ability to perform basic research and prepare reports and recommendations;

Ability to effectively multi-task;

Ability to analyze and resolve office administrative and procedural problems;

Ability to manage complex tasks and work independently;

Skilled in attention to detail;

Ability to utilize flexibility, initiative and leadership, organize own work, coordinate projects, set priorities, meet deadlines, and following up on assignments with minimal direction.

Skilled in communication techniques with diverse populations;

Ability to effectively interact as a team member at multiple levels of the organization.

REQUIRED QUALIFICATIONS

High school diploma or equivalent required and minimum two years of experience providing administrative supports.

Must be able to pass a criminal background check under agency guidelines and state regulations.=

Must be able to obtain State of Alaska Driver’s license.
PHYSICAL REQUIREMENTS/WORK ENVIRONMENT

Must possess mobility to work in a standard office setting and to use standard office equipment, including a computer, and to attend meetings; strength to lift and carry materials weighing up to twenty-five pounds.

Compensation & Benefits:
Wage: $18.25 – $21.16 per hour DOE
