Job Description : GENERAL SCOPE OF WORK: With minimum supervision, the Administrative Coordinator (Admin) will be responsible for administrative duties of broad scope and complexity requiring independent judgement and familiarity with applicable procedures. The Admin will have effective interpersonal, verbal and written skills; and a demonstrated ability to interface at all levels of the organization (from employees to executives) while maintaining a positive can-do attitude.ESSENTIAL DUTIES AND RESPONSIBILITIESPrimarily working in partnership with the Flight Operations Department with the administrative duties of the day-to-day operation, some of the key responsibilities include, but are not limited to:Following established procedures, answer general phone inquiries using a professional and courteous mannerCompose professional correspondence and process time critical forms accuratelyBuild and change schedules (as requested) based on operational needs and demandsCoordinate with the Enrollment Team to support prospective students. Run campus tours, support discovery flights, walk ins or call ins, and be comfortable speaking with candidates about the company and flight training program.Maintaining student pilot training records and informationAudit student pilot logbook pages against electronic student pilot logbook verifying course minimums have been metEnter and manipulate data on spreadsheet, data base, or file management programs with high degree of accuracy, and attention to detail.Copying, Scanning, Faxing, Emailing, FilingAssist other departments with administrative overflow as neededSKILLS AND QUALIFICATIONSExcellent communication skills, both written and verbal, attention to detail, and organizational skills a mustLogistical or flight school operations experience preferredPilot certificate and aviation knowledge preferred.Must be able to prioritize and meet deadlines, as well as make decisions independentlyOperating knowledge of MS Windows and Office applications (including Word, Excel, Outlook, and PowerPoint)Proofread and correct grammatical, typographical, compositional, or data errorsAbility to identify problems, or potential problems, develop and implement solutionsETA/Talon experience preferredEducation preferred – High School Diploma or GEDMust be reliable and demonstrate sound judgment and initiativeMust provide excellent customer servicePHYSICAL REQUIREMENTSSits, stands, and walks intermittently throughout the dayMay have limited exposure to aircraft, simulators, and equipmentRegularly required to talk and listen to others in person and over the phoneFrequent use of hands to type, write, handle or touch objects or controlsOccasionally required to climb, stoop, bend, kneel, crouch, and reach above shouldersOTHERSThis position is scheduled to work weekends – Thurs -Monday/Friday-TuesdayMust be flexible and able to follow instruction accurately.Must present a professional appearance.Self-starter does not wait for others to provide work, finds ways to keep busy.Works with minimal supervision.Flexible/adaptable to fast changing pace and instructions according to company need.Job Type: Full-timePay: $40,000.00 – $45,000.00 per yearBenefits:401(k)401(k) matchingDental insuranceFlexible scheduleHealth insuranceLife insurancePaid time offVision insuranceSchedule:8 hour shiftDay shiftWeekend availabilityEducation:High school or equivalent (Preferred)Experience:Customer service: 1 year (Preferred)Work Location: One location
