We’re now looking for an outstanding Administrative Assistant to provide support to two of our VPs in our Ads R&D Organization. In addition to providing EA support to two of our VPs, this role will also have part time Operations responsibilities, including providing event logistics support, strategic communications and project management as needed. This is a full time position that can be remote and preference is to be on the west coast as is one of the VPs, but our core working hours are 10am ET to 4 pm ET . Some travel may be required.
What You’ll Do:
Your job will be to enable the VPs to deliver top results while also providing part time operational duties. Our ideal candidate has the dedication to proactively create structure in our VP’s hectic work days, and is a wizard with calendars and google docs. Responsibilities will include, but not limited to:
Organize, plan and prepare the VP’s meetings including presentation decks, agenda and minutes
Administration such as expense reporting
Coordination and booking of travel for our VPs
Help plan and implement regular team off-sites and team social events
Participate in the organization and project management of internal team projects
Lead orders and payments for external service and product vendors
Regularly interact with external and internal collaborators
Correspondence and writing support (when possible)
Accompany the VPs on some travels where extra coordination is needed
Support communication across the organization using our central tools (Confluence, email, workplace, etc) and find creative ways to help our teams connect with our objectives
Support our needs around work environment including team member work space & tools
Assist with social & event planning including: scheduling, booking, ordering, set-up and facilitation when needed
Above all, your work will affect the way the world experiences audio through your contribution towards the team and company’s overall success.
Who You Are:
Experience working as a team coordinator, executive assistant or similar at a large, preferably public company
Experienced in working in a fast paced dynamic and international environment
Excellent proficiency using Google mail, docs and calendar as well as Microsoft Office Suite.
Need to be very resourceful. Someone who can independently solve problems and create solutions
Highly organized with a keen eye for detail, even when you’re not in control
Highly proactive and self motivated
Skilled in relationship building with a high sense of integrity
A good teammate
You understand what agile development is all about
You are anxious to learn and grow, and to help others do the same
You make those around you successful
