Job Description : Morris County Chamber of Commerce announces immediate job opening for position:Executive Assistant & Program CoordinatorJob DescriptionThe Morris County Chamber of Commerce (“Chamber”) seeks a qualified candidate to fill the role of the Executive Assistant and Program Coordinator. This is a key position that is instrumental in ensuring that the Chamber can fulfill its mission and serve its members. The position reports to the Chamber President and CFO and assists staff including Vice Presidents, Managers and Directors. The position is primarily responsible for assisting the organization in all aspects of the operations of the Chamber including, but not limited to:Executive Assistant roleEssential administrative tasks including: making copies, letter writing, filing, minute and note taking, mailings, maintaining files;General maintenance issues including interacting with vendors and property manager pertaining to the phones, computers, copier, kitchen appliances;Ordering of supplies and catering;Making appointments, schedule meetings and manage internal Chamber calendar; gather and distribute all information for any meetings;Setting up conference room for meetings and ensure operation of conference technology;Providing human resources support to the CFO;Event support including managing and responding to member inquiries, update member contact information in CRM, register members and guests for events, creating name badges, table tents;Managing social media groups as administrator;Program Coordinator roleProvide coordination support for the Chamber’s committees and programs;Provide support through program management, internal and external communication, coordination of attendees and volunteers including committee chairs;Provides timely delivery of programming information to and content to the participants;Assist with organizing and planning events with the Events Manager such as tours or off-site meetings;Assist with compiling content for programs and basic editing of content;Any additional tasks as determined and assigned by the leadership team.Supervisory Responsibilities May oversee internsThe successful candidate must: Be personable, collaborative, flexible, accountable and a problem solver;Be extremely organized with excellent time management skills. Be able to meet multiple deadlines and have excellent time management and communication skills;Be comfortable using technology including phones, computers, televisions, projectors and printers and willing to learn new software and basic hardware operation;Have interpersonal and relationship-building skills and be customer service oriented;Be adaptable in a fast-paced work environment and willing to learn;Be able to work flexible and a non-traditional schedule. Attendance at early morning and evening functions may be required;Attend courses, conferences, and conventions as approved by the President, for continuing education purposes, acquisition of new skills and best practices;Position Requirements & Qualifications: Education requirements: High school degree required; Associates or Bachelor’s Degree preferred in fields such as general business or communications. An equivalent combination of education, training and experience may be considered when competency is demonstrated.Experience: One (1) year of experience minimum is preferred, but not necessary. The Chamber is willing train the new employee.Familiarity with CRM systems.Familiarity with Zoom and Teams software, or be willing to learn.Basic competency in Microsoft Office software, in particular Word, Excel and PowerPoint.Basic competency in using social media including Facebook, LinkedIn, Twitter and Instagram or be willing to learn.Comfortability with computer hardware including turning machines on and off and basic laptop set-up.Willingness to learn new software.The successful candidate will always conduct herself/himself in a polite, professional and ethical manner. Misrepresentations, extreme pressure, disrespect to members, prospects, or staff, or misuse of the CRM may result in disciplinary action up to and including termination. Business attire must be worn on all appointments.This position is salaried, full time and not an independent contractor. Bonus(es) may be awarded at the discretion of the Board. The successful candidate agrees to carry automobile insurance on his/her personal vehicle. Mileage and other expenses will be reimbursed based on approval of the President. The position is primarily in an office setting with occasional remote option but will require mobility during special events and conferences.Salary Structure: Salary depending on level of experience.
