Position : Executive Coordinator
Job Description : The Executive Coordinator is responsible for supporting the President and Leadership Teams across all sites. The role requires a proactive problem solver with exceptional communication skills and a meticulous attention to detail. They will have previous experience working in a fast- paced environment performing administrative duties and providing support to management.BioSpectra will rely on this role for flexibility and foresight, while maintaining confidences related to systems and operations. With a primary responsibility of supporting the President and Executive Staff by providing support on day to day tasks to ensure that company goals and objectives are accomplished, and operations run efficiently. This role will orchestrate interactions to ensure the President and Leadership Team’s priorities are met, organizational goals are achieved, and best practices are upheld.Essential Duties and Responsibilities: Manage professional coordination for the President and the Leadership Team including agendas, calls, Team Meetings, travel arrangements, client management, catering and other company logisticsCoordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executivesManage, coordinate, and arrange senior executives’ travel and travel-related activities, including hotel booking, transportation, and meal coordinationPerform administrative and office support, such as presentations.Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business.Organize team communications and plan events, both internally and offsite.Writes and distributes meeting minutes from all meetings created for the President of the Company and applicable leadership team members.Other duties as needed.Qualifications: At least four years of experience in an administrative role reporting directly to upper managementSuperior written and verbal communication skillsStrong time-management skills and the ability to organize and coordinate multiple projects at onceProficiency in Microsoft Office and other office productivity tools, with the aptitude to learn new software and systemsAbility to be a flexible team player willing to do what it takes to get the job done; adaptability and enjoys a challengePhysical Requirements: Lift up to 20 lbs. occasionallyProlonged periods sitting at a desk and working on a computerAbility to see and distinguish colorBend, stoop, and carryRepeating motion that may include wrists, hands, and fingersWork Hours & Schedule: Non-Exempt PositionMinimum of 8 Hour Shift, 5 Days a Week, or other agreed upon documented scheduleAbility and willingness to work from all BioSpectra facilitiesJob Type: Full-timePay: From $25.00 per hourBenefits:401(k)401(k) matchingDental insuranceHealth insuranceLife insurancePaid time offParental leaveProfessional development assistanceVision insuranceSchedule:8 hour shiftMonday to FridayAbility to commute/relocate:Bangor, PA 18013: Reliably commute or planning to relocate before starting work (Preferred)Experience:Microsoft Excel: 1 year (Preferred)Microsoft Powerpoint: 1 year (Preferred)Work Location: One location
