Job Description : RESPONSIBILITIESCalendar Management· Maintain an extremely active and fluid calendar· Prioritize conflicting needs; handles matters expeditiously, proactively, and follows-through with stakeholders to best meet the needs of the PRESIDENTCommunications· Manage requests for information from the office of the PRESIDENT in coordination with the PRESIDENT and the Communications team, if appropriate· Create, build on and edit general PRESIDENT communications as requested· Work closely and effectively with the PRESIDENT to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately· Manage communication of confidential strategic information on behalf of PRESIDENT and/or Management Team· Provide a bridge for smooth communication between the PRESIDENT and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staffCollaboration· Partner with the Chief People and Communications Officer to ensure PRESIDENT kept informed and to facilitate the PRESIDENT’s ability to effectively lead the organization· Team player who will collaborate well with other EAs· Partner with Executive Assistant to the Chief People and Communications Officer (EA, CPO) as part of the People and Communications Team and provide backup or ask for backup when neededFinancial Management· Manage PRESIDENT budget and forecasting· Manage budget in conjunction with PRESIDENT to ensure advancement of strategic initiatives within budget· Manage Management Team timecard and expense report submissions· Complete and submit expense report for PRESIDENTMeeting & Event Planning· Partner with EA, CPO to design and plan special offsite meetings for the PRESIDENT, Management Team and Board of Directors· Partner with the EA, CPO to plan, coordinate and promote employee events and programs that create a “one-team” spirit across the organization and drive employee engagement· Prepare PRESIDENT for all meetings – day-to-day meetings, as well as events chaired or attended by PRESIDENT including coordinating travel plans and accommodations· Manage meeting cadence and agendas for the Management TeamBoard of Directors Onboarding & Meeting Preparation· Help prepare the PRESIDENT for all meetings with members of the Board of Directors· Maintain discretion and confidentiality in relationships with all board members· Partner with Legal to manage confidential PRESIDENT-related Board responsibilities: meeting presentations, manage the Diligent Board portal for the Management team and act as liaison between PRESIDENT and Board of Directors· Partner with the People and Legal organizations to onboard key members of the Board of DirectorsMiscellaneous· All employees may be assigned or otherwise required to support the business in its emergency response efforts, including but not limited to training, short-term travel and backfill duties.· Nothing in this job description restricts management’s rights to assign or reassign duties and responsibilities, nor does it exclude or restrict tasks that may be assigned, and is subject to change at any time.REQUIRED EXPERIENCE: · 10+ years of experience supporting an executive – member of C suite· Experience working on both internal and external communications· 5+ years of experience interfacing with Board of Directors· 3+ years of experience in managing and executing projectsJob Type: Full-timePay: $80,000.00 – $120,000.00 per yearBenefits:401(k)401(k) matchingDental insuranceHealth insurancePaid time offVision insuranceSchedule:8 hour shiftDay shiftSupplemental Pay:Bonus payWork Location: One location
