Job Description : HISTORIC KEY WEST VACATION RENTALS, LLCJOB DESCRIPTIONMARCH 2022JOB TITLE: General ManagerJOB SUMMARY: Responsible for the day-to-day management of Historic Key West Vacation Rentals, LLC, (hereinafter “HKW”). Directly supervises all local staff, off-site reservations agents. And shall serve as the day-to-day contact for the Company. Ensures all rental properties are maintained in good condition and meet all of HKW high standards for rental program participation. Directly responsible for Employee, Owner and Guest satisfaction.KEY FUNCTIONS:Ensure compliance of standard operating policies and procedures within each department, including but not limited to, maintaining employee schedules, resolving Guest issues, proactively maintaining properties, creating service plans for properties, assist with work orders, assist with inspections, be familiar with contracts and review / approve vendor payables.Maintain current Owner contracts and provide consistent / proactive operations necessary to grow the current properties under management. Provide an working environment for scalability and future growth.Work Orders – With the proper training, be extremely knowledgeable of Breezeway and Escapia, two systems used at HKW, approve all completed work orders, account / ensure accurate coding of all credit card receipts, export completed work orders to Escapia, approve monthly Owner’s statements, including but not limited to vendor charges, owner credits and any other charges and credits on the statements.Review and approve goals, objectives, and budgets for HKW. Participate in monthly occupancy and income/expense reports and discussions for each property.Communicate and/or act as a property Owner liaison in regard to maintenance work order approval, scheduled work orders and general operations.Inspect properties for appearance, organization, qualitative requirements, safety requirements, cleanliness compliance with management agreements, as well as HKW standards, policies, and procedures. Review all Owner feedback, comment cards and surveys and supervise the handling of all Owner complaints.Acquire and maintain rental management contracts for all participating rental units. Assist in communicating to new clients joining the rental program. Ensure new properties are correctly billed for any start-up costs. Assist Owners in upgrading and maintaining their rental units, providing information and comparable as necessary.Act as resource for staff for repair/upgrading of units. Implement programs and procedures to ensure homeowners are being billed correctly for any and all maintenance repairs and submit to accounting after work is completed.Advise direct reports of significant irregularities and problems. Determine course of action for unanticipated changes in day-to-day operations.Responsible for managing and ensuring all rental licensing are renewed and recorded in a timely manner.Maintain an average property review score of 4.5 or higher.Represent HKW positively in all aspects of job performance.Maintain strong Guest, Owner, Employee, HKW partners, Community and Local/Governmental relationships, acting in the best interests of HKW.Hire, discharge, train and supervise rental department staff, as well as other departments or personnel assigned. Provide direction and keep department heads updated at all times.Lead, through your direct reports, the effective management of the departments noted above, to maximize the employee experience (PEOPLE), ensure effective SOP’s and systems (PROCESS), deliver optimal guest service (PRODUCT) while driving revenues complimented by cost management to drive financial performance (PROFIT). You are empowered to make decisions to ensure a balanced management approach to the 4 P’s.REQUIRED KNOWLEDGE / SKILLS: Ability to deal with all types of personalities. Strong verbal and written communication skills. Supervisory and organizational experience required. Computer operation and experience required. Friendly and cooperative personality to meet and greet public. Strong customer service skills, selling skills, organization and problem-solving skills. Excellent verbal and written communication skills. Must be able to remain courteous and collected when assisting Owners and/or Guests. Must know properties, amenities, and communities.PHYSICAL REQUIREMENTS: Sight, Stand, Walk, Lift (up to 40 lbs), Carry, Bend, Reach, Twist, Environmental Conditions, Hazards, Postural Positions.WORKING ENVIRONMENT: Indoors 50%, Field Environment 50%. Seven day a week availability required.EDUCATIONS: College Degree preferred.
