Job Description : Who we’re looking for
Toyota’s Cincinnati Regional Office is looking for a passionate and highly motivated Market Representation Administrator.
The primary responsibility of this role is to provide administration of all dealerships’ financial data and franchise agreement records. Categories of direct responsibilities include Business Management with some involvement in Franchise Administration as there is direct overlap between both functions.
Reporting to the Market Representation Manager, the person in this role will support the Cincinnati Regional Office’s objective to appoint the best dealers in the market through ensuring Toyota policies and requirements concerning dealership management, capitalization, and facilities are met.
What you’ll be doing
Produce department correspondence: TDA notification letters, certified mailings, TDA Extensions, Dealer Change Notices, proposal approvals.Prepare and publish numerous monthly dealer performance reports.Coordinate monthly dealer financial statement submissions and assist dealers with transmission issues and accounting inquiries.Prepare and publish monthly business management reports.Administer the Comptroller Excellence Award Program.Coordinate the annual Net Working Capital Agreement process.Coordinate dealership Grand Opening and Anniversary events.Maintain the department’s Dealer Daily website.Perform monthly department budget reconciliation and ensure compliant use of department PCard and purchase requisitions.Participate in departmental meetings and maintain and disseminate department tracking reports.Maintain accurate department paper and electronic files.Provide administrative support to department team members.Support Region initiatives and other departments as necessary.Prepare GM Change proposals and support department analysts in preparing other market rep dealer action proposals.Administer the General Manager Evaluation (GME) program and publish monthly performance status reports/correspondence and program tracker.Administer the Vehicle Supplemental Support (VSS) and VSS-E programs.Communicate the annual Dealer Minimum Facility Standards.
Qualification Section
What you bring
Associates Degree or higher, or equivalent work experience in a professional office environment.Capability and desire to function in a collaborative team environment.Excellent customer service and interpersonal skills.Strong organizational skills, attention to detail and follow-up abilities.Proficiency with Excel, Word, PowerPoint, Outlook.
Added bonus if you have
Proficiency with SmartView, company proprietary systems, and vendor systems.Office professional experience in automotive or related field.
