Job Description : Job Summary: To lead the workflow coordination, customer service, and job intake processes in a 24X7, fast-paced environment. Responsible for monitoring incoming work requests, work-in-progress, and outgoing completed projects.To perform textual, statistical, and graphical input and revisions using a variety of software packages for internal and client legal document work generated by the end-user community.To be able to assist the Supervisor in managerial duties and responsibilities when asked, and to substitute for the Supervisor when required.Specific Duties: · Begin/end scheduled shift(s) on time;· Communicate with clients via phone, email, and in-person;· Provide consultative customer service for all incoming work, assist the intake process;· Consult with end-users in regards to all job-related information, including but not limited to: client matter #, format desired, proofing/delivery method, contact info, establishing deadlines, status updates, notification of job completion, deadline renegotiation, notification of the job being late, file corruption, etc.;· Write-up job tickets and enter the necessary information in the job tracking system;· Performing a thorough job prep, including (but not limited to) reading client instructions, opening and checking software files, obtaining copy/instruction clarification, ensuring completeness of all hardcopy, and transferring all pertinent information onto the job ticket BEFORE assigning work to the available operator(s);· Routing certain requests to the appropriate department (print requests, creative services, etc.);· Follow-up on outgoing work, proof distribution, and the client communication associated therewith (via email, phone, or in-person);· Capturing all productive time when working on live projects;· When required, input, format, and revise complicated documents with speed and accuracy resulting in a quality document;· Customize documents to clients’ specifications;· Correct formatting problems within documents;· Anticipate problems and seek to resolve them (e.g., inaccurate or obsolete job time estimates);· Use intelligent reasoning when interacting with clients during sensitive times and/or service recovery situations;· Ask for help when needed; provide help when asked;· Work without supervision when needed;· Take full responsibility for all commitments to clients and escalate all service recovery occurrences to the Supervisor;· Follow departmental standards and procedures; and· Be a reliable team player and act in a professional manner at all times.· The incumbent should be highly proficient in (MS Office Suite 2010):· Word, Powerpoint, Excel, WordPerfect, Visio, Adobe Acrobat, Document Management Systems (Filesize, Worksite, etc.), Workshare Compare, among others, to provide solutions at the operator level;· At least 2 years of on-the-job experience in a fast-paced legal production environment using industry-standard software;· Knowledge of legal/corporate Word Processing Center; and· Knowledge of hardware and software compatibility issues.· At least 2 years of on-the-job experience in a fast-paced legal production/center environment using industry-standard software;· Knowledge of corporate/legal Word Processing environment;· Knowledge of hardware and software compatibility issues;· Excellent communication skills both verbal and written;· Ability to effectively work individually or in a team environment;· Competency in performing multiple functional tasks;· Ability to meet employer’s attendance and other site policies;· Willingness to submit to a pre-employment drug screening and criminal background check.Job Type: Full-timePay: $54,950.00 – $102,850.00 per yearBenefits:401(k)Dental insuranceHealth insuranceVision insuranceSchedule:10 hour shiftMonday to FridayEducation:High school or equivalent (Preferred)Experience:Microsoft Excel: 1 year (Preferred)Microsoft Word: 1 year (Preferred)Word processing: 1 year (Preferred)Work Location: One location
